Arlington Moore is working on behalf of a hugely successful company who continue to grow. They are now looking for an Executive to support the Business Development and Commercial team. This is a newly appointed role and a real opportunity for the right person.

The role of Sales Support Executive (Business Development Support) will be to support the Business Development and Commercial team in its core back-office activities. The Sales Support Executive will work across various projects, responsible for assisting with bids and tenders; compiling initial stage costings, developing customer-facing collateral and material used for marketing services, as well as managing commercial and sales databases; analysis to improve processes, analysing risk, and developing reports for Directors. The role will also include the organisation of meetings and preparation of presentations.

While previous experience of bids, tenders and customer portals is advantageous, it does not form the whole of this role. Working across internal stakeholders within a complex business, organisational skills, advanced IT skills, and attention to detail are paramount. This role would suit an Executive Assistant / EA, Senior Assistant involved with business development or sales processes / commercial process, or a Business Development Lead with a strong lean towards managing tender documentation across a variety of stakeholders. This role would also suit someone ambitious as there is opportunity for this role to grow.

Key Accountabilities / Responsibilities:

  1. Aiding the team in qualifying potential bids, discussing pros / cons with necessary stakeholders
  2. Preparing RFQ summary documents and recommendations with the aid of the solutions and sales functions
  3. Frequenting customer portals and communicating key activity to the senior commercial team on tenders, changes to artwork or product composition
  4. Building presentations in readiness for tender / marketing requirements
  5. Compiling the final tender documents to submit to the customer
  6. Assisting with the compilation of accurate cost models to support the tender
  7. Regularly updating the CRM system to capture pipeline developments and opportunities
  8. Analysing the success of previous tenders and bids, and using the information to improve systems and processes
  9. First port of call for inbound new business enquiries, fielding opportunities to the Business Development Manager(s)
  10. Resourcing / Administration
  11. Liaising and working closely with the sales; solutions and wider senior operations team to help manage the tender process from end-to-end
  12. Keeping a central database of all commercial costings
  13. Managing the scheduling of meetings and output
  14. Managing timely escalation of risks / issues
  15. Managing a “success database,” showing reasons for success / failure and key facts / figures regarding the proposal
  16. Developing and maintaining a central ‘knowledgebase’ of material that can be used during future negotiations
  17. Developing reports for use by the Directors to track projects and business development activity

Knowledge, Skills & Experience:

  1. Excellent organisational skills
  2. Experience of working across a variety of stakeholders ideally to Director or C Suite level but this is not essential
  3. Able to write technical documents in a clear and concise manner
  4. Ability to use MS Office to a very good standard – with particular focus on PowerPoint & Excel
  5. Used to working in a fast-moving environment, to deadlines
  6. Great at deciphering technical requirements / information and comparing them to the competencies of the business
  7. Able to manipulate data using Excel and develop concise summaries / outputs
  8. Experience of working in a business setting, ideally manufacturing, warehouse or similar

This is a fantastic opportunity for an ambitious executive looking to develop their career in a commercial field.
