JOB SPECIFICATION

Reports to: Head of Sales

Contract: Full Time, Permanent

Based: Glasgow HQ

Salary: £27k - £30k

ABOUT THE ROLE

We are looking for an enthusiastic Sales Administration Manager to work in our busy Head Office in Glasgow. You will be based within our Glasgow Head Office in Port Dundas, working to support a large Sales team of over 10 people.

WHO YOU ARE

We are looking for someone with strong administration skills and able to work well within a team. Previous Sales Admin experience is desirable but not essential. We are looking for an excellent communicator that can work within a fast-paced environment.

KEY RESPONSIBILITIES

As Sales Admin Manager you’re ultimately accountable for supporting the Sales Strategy by overseeing and managing the full administration processes for all Sales enquiries from lead generation to quote preparation and processing orders. Overall, you will effectively manage the full Sales Administration process ensuring customer excellence remains front and central to everything you do.

As such we see the key responsibilities of the role as being:

  1. Sales Administration
  2. Sales Support
  3. Scoping including daily updates
  4. Preparing Quotations
  5. Processing Orders (New Job Notifications – new process)
  6. Fully manage ZOHO CRM in coordination with sales managers (inc Forecasts and Pipelines)
  7. Manage Glenigan (inc ZOHO integration)
  8. Carry out regular audits of all CRM activity and entries
  9. Weekly and monthly reporting on sales figures
  10. BDM and Departmental KPI’s
  11. Manage Proposify Software
  12. Assist with information for Tender software / portal
  13. PQQ’s/Supplier Access Forms
  14. Creative meetings with Marketing Manager to assist with marketing projects
  15. Manage Client Lists
  16. Update Client Overview Document
  17. Liaise with Marketing Manager
  18. Liaise with Sales Managers
  19. Manage Department priorities and effectively delegate relevant tasks to ensure Department operates at optimum capacity
  20. Manage Team of Sales Admin Assistants
  21. Prepare Sales Board Meeting Submission
  22. Management of department documents e.g. T&Cs, pricing etc
  23. Processing of sales orders

TEAM REPORTING & STRUCTURE

Reporting to the Head of Sales with the opportunity to develop internally as the company grows, you have two direct line reports. The current Sales Admin Team provides support to the Sales Team which generates an annual turnover of £20m between our three UK offices across the business, with year-on-year growth forecast in line with our Road to 2030 corporate strategy.

Job Types: Full-time, Permanent

Salary: £27,000.00-£30,000.00 per year
