Resource Coordinator

Description

In collaboration with key Silverstone stakeholders, drive the seamless planning and booking of top-tier support team members.

Recruit, develop and inspire a thriving support team pool that continues to grow alongside our ambitious business strategy.

Empower all operational departments by delivering exceptional support team staffing solutions and continuous improvements.

Ensure every support team member is aligned with our policies, procedures and company vision, helping to build our customer-centric culture with a keen eye on professionalism and collaboration.

Key Responsibilities
Recruitment & Resourcing
  • Partner with our operational departments and Senior Talent Acquisition Partner to recruit and schedule our support team and agency team members.
  • Collaborate with the Senior Talent Acquisition Partner to ensure that we are recruiting for the best of the best for all business areas.
  • Ensure that recruitment processes and onboarding of team members are in accordance with the Recruitment Policy and Silverstone standards.
  • Coordinate recruitment evenings/open days, supporting the team to grow!
  • Build strong partnerships with our key agency partners including strong communication and feedback.
  • Book and process support team members for operational departments and events.
  • Consistently monitor the Team Portal to address issues and keep on top of team scheduling.
  • Provide effective and engaging communication and information to the support team. Ensure this is delivered in a timely manner.
  • Ensure that team check-in points are resourced appropriately for major events, weekend meetings and any other business requirements for support team members, seasonal and agency team members.
  • Consolidate department rotas & staffing requests to effectively manage our support team and agency resources.

Training and Onboarding
  • Ensure all new starters have been assigned online/onsite training.
  • Working with the L&D Partner to ensure training is completed in a timely manner.
  • Ensure all of our support team members are engaged through an effective, informative and inspiring onboarding process.
  • Ensure contracts and pre-onboarding requirements are completed in a timely manner.

Accreditation
  • In collaboration with the Accreditation team, produce all support team, agency workers and event partner accreditation.
  • Support with running Silverstone’s accreditation software.
  • Ensure accurate records are kept on the accreditation system.
  • Ensure all accreditation produced meets the required standards and layout.
  • Attend meetings relevant to Accreditation as and when required.
  • Oversee the accreditation plans for all support team and agency workers throughout club and major race weekends.
  • Ensure data protection policies are adhered to.

P&C System/Payroll
  • Ensure shift hours are updated and reconciled on both the portal and staffing sheets to provide accurate month-end costs for the Finance Team.
  • Input team hours for payroll and check pay rates for direct team members and agencies.
  • Process any new starters and leavers onto the system at the appropriate time.
  • Collaborate with the resourcing team to identify any opportunities to improve processes and systems.
Team Working
  • Work collaboratively within the resourcing team and wider People & culture team to drive the People agenda forward.
  • Share best practice within the resourcing team, identifying areas of risk and opportunities within resourcing.

Team Responsibilities
  • Attend any operational/business/planning meetings as required.
  • Promote at all times the professional image of the company by ensuring high standards of both professionalism and personal presentation.
  • Participate in staff training as required.
  • Comply with company policies and health and safety requirements at all times, encouraging an awareness of health and safety requirements.
  • Any additional responsibilities as reasonably required.
Performance Responsibilities
Performance will be monitored against the following:
  • Objectives set through the Personal Development Review (PDR) process.

Skills, Knowledge and Expertise
  • Highly organised, strong attention to detail and able to work to deadlines.
  • Ability to work on own initiative in a dynamic environment.
  • Good written/verbal communication skills with the ability to speak confidently to people at all levels.
  • Strong ability to build positive working relationships with key stakeholders.
  • People-centric approach, championing the corner of the support team in all activities.
  • Strong customer service skills with a problem-solving and helpful approach to potential challenges.
  • Flexible approach to working hours, including weekends and some evenings.
  • Enjoys working in a fast-paced environment.
  • Full clean UK driving licence.
  • Strong IT skills (Excel, Word, staff rota systems and knowledge of Select HR/ Select Pay would be desirable).
