Job description

NHS Greater Glasgow and Clyde is one of the largest healthcare systems in the UK employing around 40,000 staff in a wide range of clinical and non-clinical professions and job roles. We deliver acute hospital, primary, community and mental health care services to a population of over 1.15 million and a wider population of 2.2 million when our regional and national services are included.

This is a fulltime, permanent post of 37 hours per week, with a shift pattern of Monday to Friday. The hours of work are predominately 08:30-4:30pm but will require a flexible approach in order to meet the needs of the service and research participants.

The Glasgow Clinical Research Facility (GCRF) incorporates Clinical Research Facilities at the Queen Elizabeth University Hospital and Glasgow Royal Infirmary. Jointly they provide a streamlined service to investigators from study start-up to archiving in NHS Greater Glasgow and Clyde. We are recruiting a motivated, organised and enthusiastic Administration Manager to provide management and coordination of the project assistant and reception teams. The post-holder will work closely with the Quality Manager and Research Nurse Managers. The post-holder will work unsupervised and autonomously ensuring an effective and efficient service supports the multidisciplinary team in the delivery of clinical research. The post-holder will be expected to provide management support to the teams across various locations/GCRF sites, with a requirement to travel to the sites as required.

Minimum Requirements:

  • Recognised qualification in Administration, equivalent to HNC in Secretarial Studies or Business Administration, or SVQ in Administration at level 3, or significant relevant equivalent experience.
  • Appropriate current relevant experience in an administrative position.
  • High degree of organisational skills, together with excellent analytical, written and oral communication skills.
  • Ability to manage and prioritise a diverse workload, including staff governance and HR processes.
  • Evidence of management experience.
  • Competence in the use of a range of computer packages evidenced by experience in the use of standard software systems (e.g. Microsoft Office) and evidence of advanced keyboard skills.
  • Knowledge of NHS environment is desirable, together with an understanding of clinical research.

NHS Scotland is reducing their full time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay. This reduction will also be applied pro rata for part time staff. However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week.
