Job description

We are looking for a receptionist to join our team for 28 hours a week:

The successful candidate will be required to be flexible with hours between 7am-8pm Monday to Friday to accommodate staff holidays etc.

The shift pattern will be:

  1. Monday 7am - 1pm
  2. Tuesday 2pm - 7pm
  3. Thursday 7am - 12pm
  4. Friday 2pm - 7pm

The successful candidate will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team.

Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required.

To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Main duties of the job

To support the practice clinical team by signposting patients to the appropriate healthcare professional or service, working as part of the practice's multidisciplinary team.

The receptionist will also be expected to undertake reception duties as part of the role, supporting the administrative team in delivering a polite and professional service to the entitled patient population.

Job responsibilities

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks; this will be dependent on factors such as workload and staffing levels:

  • a. Process and effectively signpost patients to the appropriate healthcare professional depending on the presenting condition
  • b. Answer incoming phone calls, transferring calls or dealing with the caller's requests appropriately
  • c. Process patient requests for appointments
  • d. Initiate contact with and respond to requests from patients, team members and external agencies
  • e. Enter read/SNOMED CT code data on EMIS Web
  • f. Photocopy documentation as required
  • g. Data entry of new and temporary registrations and relevant patient information as required
  • h. Input data into the patients' healthcare records as necessary
  • i. Direct requests for information, e.g., SAR, insurance/solicitors letters and DVLA forms, to the administrative team
  • j. Manage all queries as necessary in an efficient manner
  • k. Maintain a clean, tidy, effective working area at all times
  • l. Monitor and maintain the reception area and noticeboards
  • m. Support all clinical staff with general tasks as requested
  • n. Undertake all mandatory training and induction programmes

Person Specification

Experience

  • Experience of working with the public
  • Experience of working in a healthcare setting

Qualifications

  • Educated to GCSE or equivalent
  • Active Signposting or Care Navigator Training Qualification
  • Healthcare Qualification (level 2) or working towards gaining equivalent level
