Nottingham City General Practice Alliance

We have an opportunity for an experienced Receptionist to join the NCGPA practice teams. For this role we are seeking a motivated, enthusiastic, and committed individual with a proven record of delivering exceptional customer service in a general practice environment. Accuracy and attention to detail are key to this role.

Confidentiality

While seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential. Information may only be divulged to authorised persons in accordance with the Federation's policies and procedures relating to confidentiality and the protection of personal and sensitive data.

Main duties of the job

Responsibilities

  • Manage the reception desk ensuring surgeries run smoothly and efficiently
  • Receive patients and visitors courteously and efficiently
  • Answer the telephone, take messages, and pass them on appropriately
  • Process appointment requests by telephone or in person
  • Action any queries for repeat prescriptions in accordance with practice guidelines
  • Provide a point of contact for patients and act as a focal point of communication between patients, doctors, and other members of the Primary Health Care Teams
  • Take requests for home visits and ensure they are recorded and processed
  • Liaise with hospitals, primary health care teams, social services, etc.
  • Open and close the practice as necessary, ensuring the reception, office, and consulting rooms are prepared for the morning session
  • Photocopy, scan, and shred documents as required
  • Maintain confidentiality
  • Have a thorough knowledge of all practice procedures and policies
  • Work in accordance with written protocols
  • Complete tasks allocated by managers or GPs
  • Attend team training events as part of ongoing development and training
  • Assist in opening and distribution of post if needed
  • Assist in filing away medical records
  • Attend protected learning time sessions
  • Provide cover to all practices as required by the federation

Job responsibilities

The role is for 25 hours per week. All staff must demonstrate flexibility and share responsibility for providing cover when necessary, including for colleagues who may be absent due to holidays or illness. This flexibility is a mandatory requirement of the role.
