Position: Quality Assurance Coordinator

Position Summary
The Quality Assurance Coordinator is responsible for providing support to the Quality Assurance team and administration of the Quality Assurance systems and programs within Operations.
This role supports the fleet operations and requires active engagement with fleet personnel, ashore and afloat as well as correspondence with customer contacts and industry bodies on an ongoing basis.
Major Responsibilities
- Treat health, safety and environmental compliance as top priority.
- Maintain vessel inspection (SIRE, Flag) planning sheet.
- Schedule, arrange vessel inspections (SIRE and Flag) and communicate vessel inspection planning and arrangement with the vessel and operations team.
- Make applications for SIRE inspections via OCIMF booking portal.
- Update MMS VIS system with inspection requests and inspection responses for vessels chartered to Petronas.
- Import SIRE reports into NS HSEQ system upon release of the SIRE inspection report.
- Input approved SIRE responses into OCIMF / NS HSEQ system.
- Input PSC and Flag Inspection reports into NS HSEQ system.
- Update vessel inspection (SIRE, PSC, Flag) KPI sheet.
- Upload closed SIRE, PSC and Flag inspection reports into ‘The Quay’.
- Send PSC inspection reports to Bahamas flag administration for Bahamas flagged vessels.
- Maintain updated vessel trading certificates in OCIMF repository.
- Process vessel inspection invoices.
- Upload PSC reports into OCIMF data repository.
- Upload crew matrices into OCIMF portal.
- Upload all matrices into OCIMF database on the 1st of each month.
- Input data into internal and external reports (monthly and quarterly reports).
- Provide information and reports related to vessel inspections to the Operations team when requested.
- Provide administrative support for Integrated Management System document changes.
- Provide trending, analysis of quality assurance performance, KPI reports and presentation materials.
- Coordinate office audit schedules and agendas.
- Any other duties assigned by line manager.
Requirements (Knowledge, Skills & Abilities)
- A high level of competence in using MS applications and database entry.
- Strong organisational skills.
- Excellent attention to detail and work ethic.
- Strong teamwork, interpersonal, and communication skills.
Preferred
- Knowledge of maritime shipping industry.
- Experience working in a comparable role with similar systems (e.g., Q88, OCIMF SIRE).
