Job description

Our client, a live music and events promoter, is seeking a Promoter Assistant. The role will involve working across contemporary and classic rock music and delivering tours/events in the UK.

Key responsibilities will include:

  1. Supporting the Promoter with administration, inbox and calendar management. This will also include meeting diaries, travel and other PA duties.
  2. Representing the Promoter at shows and events, and hosting guests at shows where needed.
  3. Handling client liaison and facilitating requests from agents/managers/suppliers in a timely manner.
  4. Coordinating guest lists and disseminating information on ticket collection.
  5. Supporting with researching venues, routing tours, collecting availabilities, and holding dates.
  6. Ensuring work permits for international artists for UK tours are in line with UKBA regulations.
  7. Collaborating with internal teams to ensure effective delivery of shows with the management of information on production and logistics.
  8. Updating databases and folders with the wider Promoting team with accurate data.
  9. Confirming shows with internal teams.
  10. Attending meetings regularly and contributing ideas for new events.
  11. Collaborating with the financial department to produce reporting on show’s financials, including projections, reports, and overseeing payments as required.
  12. Drafting show budgets, offers, projections and settlements.
  13. Regularly reviewing ticket sales and adjustments to promotional plans as needed.
  14. Reporting sales figures to relevant artist representatives as required.
  15. Working across show marketing management, coordinating artwork, advertising materials, and ad campaigns.
  16. Booking and delivering marketing events, including TV ads, posters, online and radio advertising.
  17. Supporting with the collection of national ad contributions from external promoters.
  18. Reporting on marketing activities to the relevant artist representatives as needed.
  19. Undertaking relevant duties as reasonably required.

Requirements:

  1. Live music experience and working knowledge of delivering events and concerts.
  2. Knowledge of rock music is advantageous.
  3. Commercial understanding of the music industry in the UK.
  4. High standards of written and spoken communication skills.
  5. Meticulous attention to detail.
  6. Working knowledge of Microsoft Office Suite, including Excel and Outlook.
  7. Able to use MS Excel for budgeting and financial representation.
  8. Expert level prioritization skills, able to meet deadlines consistently.
  9. Willing to work in a fast-paced environment.
  10. Able to maintain good working relationships with external contacts in the wider music industry.
  11. Possess an understanding of how different parts of the industry work together.
