Role Overview
Join the Registry Team and be at the heart of supporting teaching delivery and experience for our degree cohorts and professional learners. This is a full-time permanent position based at our London campus but with opportunity for remote working (between 2-3 days per week). This is your chance to be part of a vibrant, innovative community, helping support students' and professional learners' experience both administratively, and at academic and co-curricular events.
The Programme Officer will provide support across our degree provision, professional development courses as well as other initiatives such as student exchange.
The appointed individual will be a vital part of the daily administration of student records; working with confidential information you will use Excel, the student record system and Canvas to administrate the full student journey lifecycle.
You will act as the first point of contact for student enquiries relating to attendance, assessment and general enquiries.
The purpose of the role is to provide a proactive, efficient and professional service working closely with relevant professional and academic staff in order to maintain and enhance the student experience.
This varied role requires strong administrative and organisational skills. The ability to handle a competing workload, maintain accuracy and have an eye to detail are essential for this post. We are especially eager to hear from candidates driven to harness technology to streamline and scale programme operations through smart automations and efficient processes.
DUTIES
Your core duties will include, but are not limited to as we are a startup organisation:
Student and Programme Administration
- Administrating student records from registration and enrolment through to course completion
- Administering module registration and selection processes
- Administering changes in student status such as interruption or withdrawal
- Administering Student Loan Company (SLC) registration and attendance reporting
- Administering the extensions and extenuating circumstances processes
- Standardisation of assessment briefs, module forms, and display of core information
- Creating and disseminating programme, module and assessment information
- Provision of samples of marked work and Examination Board materials to External Examiners as needed
- Creating reports for internal and external use, including Exam Board Reporting, assessment and attendance statistics
- Inputting marks, extenuating circumstances and associated examination board decisions on the School's systems.
- Conducting data checks to ensure accuracy
- Managing the marking and moderation work stream and deadlines
- Providing transcripts, council tax certificates, student confirmation letters and other documents for students as needed.
Attendance and Timetabling
- Co-monitoring the student attendance inbox, responding to queries and updating records as needed
- Recording attendance and absences in line with policy or partner requirements
- Assisting with timetabling and minor amendments to schedules
- Dealing with student and staff timetabling queries
- Collating and checking attendance data
- Assisting with data requests and reporting
Cortex - our Virtual Learning Environment (Canvas)
- Setting up and administration of module spaces and assessment areas on Canvas
- Managing assessment submission, marking and feedback areas on Cortex (our Virtual Learning Environment)
- Ensuring standard text is the same across all spaces and proofreading of course content
- Monitoring engagement metrics
- Registration of students on Cortex
Logistics, teaching and event support
- Working with professional services colleagues and Faculty to help plan current and future provision
- Presenting provision arrangements to Marketing and Recruitment for recruitment and advertisement cycles
- Supporting Faculty with course delivery across our teaching platforms (Teams, Zoom, TeachFloor)
- Providing event support - catering, room booking, staffing, greeting guests, handling queries from professional learners, students and staff
- Mapping timelines of events across the wider organisation
- Publication of events
- Attending events and tracking participant engagement and feedback
- Administering core text purchasing, liaising with Faculty as needed
- Assisting with planning and operationalising of provision
Communication and Liaison
- Being the first point of contact for student and staff enquiries relating to attendance, planning, assessment and other general enquiries.
- Liaising with external organisations and partners to answer queries relating to programme and student administration
- Monitoring a variety of inboxes providing timely and accurate responses
- Working cross-functionally with professional services staff across the institution and Faculty to answer queries relating to courses, planning and student issues.
- Liaising with the Academic Pastoral Lead and Head of Student Support with data on attainment and attendance
- Answering and advising on enquiries around space and staff availability from internal teams
- Communicating guidance issued to students and staff for hand-ins, marking and feedback release
Information handling
- Maintaining key points of reference for internal teams and students to use
- Presenting provision arrangements, including deadlines for content, in an accessible format
- Supporting Faculty and other teams with information management and timeliness
Other duties
- Acting as Secretary to internal meetings as needed
- Working in line with GDPR, LIS' policies, procedures and regulations
- Undertaking any other duties commensurate with the grade of the post
- Striving to improve administrative processes
- Participating in the reception rota with all other staff during term time

Requirements
- Applicants may have some administrative experience (preferably within a university or education setting) together with the ability to organise a busy workload, attention to detail, and the ability to work within a team and independently.
- You will have a passion for being student-centred in your approach to tasks and have excellent communication skills.
- A strong working knowledge of Microsoft Office, including experience of working with Excel is essential.
- Desirable applicants will have worked in an educational, professional learning and have good excel skills and/or familiarity with Canvas, student record systems, Teachfloor, and Notion.
- Candidates must be able to work effectively as part of a team as well as independently, able to organise competing workloads and have attention to detail.

- £31.7k - £36k depending on level of experience
- Flexible working arrangements: a minimum of 2/3 days per week on campus in East London and up to 1 month remote working abroad annually
