Job description

Aspinal of London are looking for a Production Coordinator to support the Head of Production on delivering the production from sign off through to launch, maintaining on time delivery of 95% ensuring the product meets all key stakeholders’ milestones in terms of delivery and margin from all global partners.

This role requires attendance in the office at least 4 days per week in Fernhurst.

Accountable for:

  1. Building strong relationships with all AOL suppliers to achieve 95% on time delivery.
  2. Ensuring POs are raised correctly and accurately, monitoring throughout the season so as not to jeopardise delivery.
  3. Providing key support on the critical path management throughout the production process from start to end, working closely with the RM team and Senior Production Coordinator.
  4. Communicating with suppliers to ensure shipments and paperwork are correct before handing over to the Production Admin Assistant.
  5. Being conscious and supporting the photography process, assisting the Administrator to ensure all images online are representative of the product.
  6. Ensuring that the system is always up to date and accurate.
  7. Owning the freight tracker sheet and accurately recording all spend data, reporting out on a monthly basis the updated spend.

Supplier Liaison:

  1. Ensuring all PO supplier information is correct and sent in a timely manner.
  2. Proactively collating all information to report correct delivery information to the business.
  3. Being proactive in replying to all pending questions within 24 hours.
  4. Partnering with logistics to achieve budget targets, analysing freight and forward planning shipment bookings.
  5. Owning the freight tracker to ensure all costs are accounted for and the best method of movement is planned.
  6. Being dedicated to the goal of on time delivery, supporting the Senior Production Manager with communication with suppliers and owning dedicated suppliers.
  7. Supporting the Production Admin in ensuring all PPs are sent in good time, comments are turned around in a timely manner and in line with the Creative Director's vision.

Product and Critical Path Review:

  1. Ensuring CPs are called in on a weekly basis.
  2. Owning the PO Schedule, ensuring clear information is fed back for the assistant production admin to accurately update the system, particularly updates from suppliers.
  3. Attending weekly calls for the suppliers to ensure key partners are connected, taking accurate notes for prompt follow-up by all parties.

System Responsibilities:

  1. Uploading orders onto NAV and ensuring information is accurate once confirmed by the Senior Production Coordinator.
  2. Confirming with suppliers that POs have been logged and requirements have been passed to the Raw Materials Team.
  3. Ensuring Aspinal systems (NAV) is updated with the most recent information by feeding clear information to the admin.
  4. Supporting the Production Admin Assistant when needed to ensure supplier invoices are matched within 48 hours, noting the impact on the business if not done so.
  5. Notifying the Head of any discrepancies should they arise.
  6. Having a clear understanding of Aspinal’s quality standards and flagging any quality issues with the team, supporting the Production Admin Assistant in collating the information for review.
