A leading global manufacturer is currently recruiting a Procurement Assistant to work in their Glasgow office.
In this role, you will be responsible for supporting the procurement process, assisting with quotations, purchase order processes, and document management.
The ideal candidate should have procurement or sales administration experience, strong communication abilities, attention to detail, organizational skills, and proficiency in Microsoft Office.

TYPE: Permanent, full-time
WORKING HOURS: 9:00-17:00 from Monday to Friday
SALARY: 30 - 39k depending on experience

Procurement Assistant Main Responsibilities:
  1. Assist/support the team with quotation, purchase order process, payment, forward exchange contracts
  2. Use internal Purchase Requisition System to assist in the creation and processing of purchase orders
  3. Review purchase orders for accuracy and completeness
  4. Track and monitor order status to ensure timely delivery
  5. Liaise with suppliers to resolve order discrepancies or issues
  6. Communicate delivery schedules and expectations to suppliers
  7. Maintain positive relationships with vendors
  8. Liaise with internal customers to provide status updates on orders/PD activities
  9. Cooperate with logistic and acceptance department about goods delivery
  10. Maintain accurate procurement records, including purchase orders and contracts
  11. Organize and file procurement documents for easy retrieval
  12. Prepare reports and summaries as needed
  13. Assist in the registration of new suppliers, including bank account confirmation
  14. Provide administrative support to the procurement team as required
  15. Schedule meetings, maintain calendars, and assist with correspondence
  16. Greet & direct visitors, take meeting minutes, and handle incoming telephone calls
  17. Business trips to Northern Scotland as required
  18. Ensure compliance with company procurement policies and procedures

Procurement Assistant Ideal Candidate:
  1. 5+ years of procurement or sales admin assistant experience
  2. Bachelor's degree in Business, Supply Chain Management, or a related field (or equivalent work experience)
  3. Proven experience as a procurement assistant or in a similar role is a plus
  4. Good team working skills and good communication abilities both verbal & written
  5. Attention to detail and a high level of accuracy
  6. Ability to work independently and as part of a team
  7. Strong organizational and time-management skills
  8. Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  9. Integrity and ethical behaviour in handling sensitive procurement information
  10. Knowledge of procurement regulations and best practices is preferred
  11. Willingness to learn and adapt to changing procurement processes
  12. Self-motivated and able to prioritise work to achieve deadlines without compromising quality
  13. Business level fluency in English
  14. Understanding of Japanese working culture or language would be a plus
