Job description

UHNW family are looking for an experienced and highly professional Private EA to support 4 siblings (3 brothers and 1 sister between the ages of 29-35yrs old) predominately with their private affairs but also business matters, as well as managing the Mayfair office. Two of the siblings are based in London, 1 in Switzerland and the other out of Dubai but all are in London regularly and theirparentsoften visit too. They are well-educated and each are successful in their own right with business interests across Finance, Tech, Property, Entertainment and Luxury Goods and although not demanding in terms of volume of work, the family expect high standards to be met at all times. This is a small private office in which you would be working alongside 2 colleagues (Sales & Marketing and an FD) and while some flexibility will be required, the family are respectful of their employees' time.

Hours:-9am-5.30pm, Monday to Friday

Location:- Mayfair office, with flexibility to work from home approx 1 day per week

Salary:- £60k-£70k plus private medical insurance after completion of probation period

Start Date:- ASAP

Interviewing:- ASAP

Responsibilities include, but not limited to:

EA Support:

Pertaining solely to the family office business.

  • Basic diary management
  • Basic bookkeeping (logging all invoices and payments pertaining to the family office), working closely with the Finance Director
  • Office management (pantry and office supplies, liaison with property management, meeting room management, meet and greet)
  • Point of contact regarding the office Property Managers, cleaning team, IT support (outsourced), plants/flowers providers
  • Basic business support to Principals: KYC
  • Soft copy filing on Google Drive
  • Being part of WhatsApp chats pertaining to certain business interests

Private PA support:

Occasional and mainly remote support to three brothers and one sister.

  • Reservations, memberships management, medical appointments, sports venues booking
  • Basic house management regarding a 3-bedroom rental in Kensington, liaison with the property managers, building reception / management suite of the development and the fulltime housekeeper
  • Car collection management (keeping up to date spreadsheet of servicing, MOT, tax disc and insurance due or expiration dates, storage)
  • Tracking days for one of the principals
  • Personal errands and tasks
  • Travel support (entering flight details in calendar, checking in service, arranging transfers)
  • Liaison with insurance broker for car, private health and household contents

Concierge support:

  • For family holidays, research support (special local attractions or children-friendly activities), cars/bike hire and booking specialists for massage, hair and nails, and sourcing yoga, Pilates, tennis, swimming, padel and golf instructors, private chefs
  • Sourcing special items for family members (ie vintage designer handbags or shoes, arts and craft materials)

Candidates must be / have:

  • Min of 5yrs experience in a similar role
  • Good experience with Google Suite
  • Intermediate MS Office
  • Good understanding of basic bookkeeping
  • University degree
  • Proven discretion
  • Able to work proactively and with autonomy to manage their time / prioritise their work effectively
