Modality Partnership Hull Division has a full-time vacancy for a Prescribing Administrator Team Lead. The pay for this role is £13.51 per hour, equating to £26,426.63 per annum WTE. The Prescribing Administration Team Lead will lead and manage a team of prescribing administrators and provide support to ensure they perform effectively, and they deliver high quality services that enable efficient and effective patient care, minimising administrative tasks for prescribers within the division.

Main duties of the job:

The role is an all-rounded, hands-on lead role; The Prescribing Administration Team Lead will work with the Central Admin Team Manager, Pharmacist Lead and GP Clinical Lead to monitor and measure performance of the Prescribing Administration Team across a range of KPIs and evidence (required by NHSE and ICB) that the team are achieving or exceeding key targets and performance indicators outlined in the SOPs and within the business plan.

The role is not a regular 9am-5pm job and is not a pure patient facing role; the job requires a combination of administrative tasks and customer service, you will need to be innovative, offer flexibility and commitment and the postholder will be required to work resourcefully as part of the team to ensure tasks are completed.

Job Description:

  • Manage the recruitment of Prescribing Administrators and ensure they are trained and inducted and probationary periods managed.
  • Provide day-to-day line management of Prescribing Administrators including one-to-one supervision, appraisal and performance management.
  • Identify and formalise development and training needs for individual administrators (particularly mandatory needs) and record appropriately.
  • Manage the workload within the Prescribing Administration Team to ensure cover is available across the team in times of sickness or annual leave, high demand or in other emergencies.
  • Implement HR procedures effectively and dealing with first line performance, grievance and disciplinary issues taking specialist advice where appropriate (supported by a Practice Manager).
  • Ensure Prescribing Administrators are utilised effectively through the use of efficient rotas, access to appropriate functioning equipment, sound working practices and appropriate use of knowledge and skills.
  • Ensure services provided by the Prescribing Administration Team support at all times the delivery of clinical targets and minimise the impact of prescribing tasks on medics and clinicians.
  • Ensure performance management of Prescribing Administration Team and support them to performance manage their respective teams in line with the needs of the organisation.
  • Implement policies, protocols and procedures, (designed to ensure consistency and quality of service, adherence to relevant quality and governance frameworks and mitigation of risk to the business, staff and clients), and where appropriate and beneficial recommending changes or additions to these ensuring all staff are trained and knowledgeable about their roles.
  • Identify and recommend service improvement opportunities in the way tasks within the Prescribing Administration Team are undertaken.
  • Scan the external environment to identify innovative practice and where necessary recommending adoption within the Division.
  • Lead team meetings/daily Huddles with Prescribing Administration Team and facilitating Protected Time for Learning Events.
  • Undertake other agreed project work as directed by the GP Clinical Lead / Practice Manager.
  • To undertake any other duties commensurate with the scope of the role and within your skill set as requested supporting the team as and when the needs of the service requires.
  • To ensure that all medicine and appliance prescription requests are checked against the patient records and whenever there is doubt about the appropriateness of the item, or about the dose or labelling instructions, to check with the appropriate prescribing clinician.
  • To ensure that all systems by which prescription requests are received by the Hub, including by paper, email, fax and online, are monitored to ensure no requests are overlooked.
  • To respond, under GP / prescribing clinician supervision and instruction, to requests for acute prescriptions.
  • To generate repeat prescription requests received through different modes, including written requests from patients, fax, letter and online within 48 hours of request.
  • To generate patient requests for new prescription items not on their repeats list by tasking the appropriate clinician.
  • To check for medication reviews/blood tests/BP needed before issuing prescriptions and take appropriate action.
  • To ensure correct protocols are followed regarding the ordering and tracking of controlled drug requests.
  • To monitor high risk drug prescriptions and paperwork to ensure compliance with protocols.
  • To ensure prescriptions are provided to clinicians in a timely manner for sign-off and identify and escalate delays.
  • To generate prescriptions for injectable medications administered by clinicians for PPA claims purposes.
  • To liaise with Practice Pharmacists, Community Pharmacies and other relevant outside organisations to resolve problems with prescriptions quickly with minimal disruption to patients.
  • To deal with general enquiries to and from patients regarding their medication.
  • To update patients’ prescribing records in accordance with discharge information received from other providers e.g. hospital outpatient letters.
  • To identify potential over-ordering/over-use of medication and flag up with a clinician.
  • To communicate and liaise with Practice Pharmacist teams and Medicines Management teams as required.
  • To undertake any other duties as requested by GP Clinical Lead, Practice Manager, Divisional Lead Pharmacist.
