Overall Purpose of the Role
  • Support and deputise in the absence of the Suites Manager during meetings and cascade briefing information accordingly and managing the suites operations
  • Lead the day-to-day suites operations on event days, ensuring the smooth planning and delivery of the food and beverage service within Suites to our client and customers, managing suites teams
  • Achieve operating standards that exceed the guest’s expectations through strong leadership and effective management
  • Ensure the smooth delivery of a first-class catering product and service to our clients and customers within the suites
  • Demonstrate full alignment to our Levy Restaurants vision and values by creating and living the Levy Difference through delivering Legendary Experiences & Powerful Partnerships
  • Manage the business needs and performance standards in line with the Core Signatures guidelines, Client Service Level Agreements and KPI’s
  • Ensure the smooth planning and delivery of the food and beverage service within Suites to our client and customers, managing both suites’ levels, kitchen, pantry, and bar service teams

Key Accountabilities
Health and Safety
  • Maintain H&S compliance and lead a health & safety culture
  • Work with onsite HSE champion to ensure that all health and safety core signatures and the HSE silver standards are adhered to and maintained in your area of business
  • Personally demonstrate that you take responsibility for your own health and safety and that of others
  • Ensure compliance with all Responsible Service of Alcohol processes and RSA incident log handover is reported at the end of every event
  • Complete maintenance reports to send to Building Services and all relevant Levy departments

People
  • Complete all sign in sheets, ensuring breaks are recorded and taken in line with working time regulations
  • Optimize and lead in recruitment, inductions, training, and development of the variable staff members in accordance with the needs of the suites
  • Actively communicate with an upbeat, professional, and courteous manner to team members, building positive team morale, while completing pre-shift briefings
  • Effectively delegate and follow instructions given by Head of Hospitality
  • Manage the performance of any direct reports, conducting job chats where required, while identifying succession planning (Suite supervisors/Pantry supervisors/ Kitchen supervisor)
  • Identify training needs of individuals and ensure all staff are trained on both food and drink menu inclusive of any specials, as well as upselling techniques

Financials
  • Assist the Suites Manager with completing monthly labour planners in line with departmental budget
  • Maximise sales opportunities and positively contribute to the sales activities within Suites, as well as helping to guide and brief staff to do the same
  • Make suggestions to the Suites Manager regarding the developments in the operation that may improve the profitability, where agreed, implement, and monitor these changes once approved
  • Support the Suites Manager in the achievement of sales revenue and targets set out for the department
  • Demonstrate excellent control of all operating costs in line with set targets as advised by the Suites Manager
  • Ensure all supervisors are aware of departmental sales forecasts and actuals per event
  • Investigate and monitor all card variances, ensuring all variances are logged and reported
  • Ensure all end of day procedures are completed and tills closed correctly at the end of each shift
  • Assess stock sheets throughout the event. Ensure stock transfers are made. Responsible for checking and signing off stock sheets
  • Maintain asset register up to date in line with Profit protection requirements

Client Relations
  • Work alongside the Suites Manager on delivery of activations the concourse level
  • Actively maintain day-to-day contact with AEG suites account managers as well as L2 and L3 event managers to establish strong working relationships
  • Support the Suites Manager to meet the needs of clients and deliver first class service to guests

Customer Satisfaction
  • Be actively on the floor and always checking on all suites and staff
  • Acknowledge and act upon individual customer needs whilst observing the service standards
  • Deal with all customer comments in a positive manner and take appropriate follow up action where required
  • Have knowledge of all Suites products and be able to advise the customer in a professional and helpful manner
  • Share best practice across units and strive in the achievement of total customer satisfaction
  • Support supervisors and attendants in the delivery of excellent guest service to all 82 Suite Holders at the O2
  • Liaise regularly with the Suite Manager and attend all training and operational meetings as required
  • Levy point of contact for the AEG Hospitality team on events by event basis
