Postgraduate Medical Education Administrator

The post holder will be a key member of the Postgraduate Medical Education Team, providing a high-quality administration service to the Senior Team and wider PGME staff. You will have principal responsibility for the administration of education relating to resident doctors at Core and Specialty training level. The content of the post will be subject to continuing review in discussion between the post holder and manager.

Main duties of the job

  1. Support the Associate Director of Medical Education (Quality).
  2. Assist with the creation of a Quality dashboard.
  3. Assist with the analysis of quality data (e.g. GMC NTS, NETS Survey, Staff Survey, Sickness data).
  4. Arrange quality review meetings and liaise with ADMEQ and specialty management teams.
  5. Draft quality review reports with the support of the ADMEQ.
  6. Ensure that all reports and quality data are prepared on a timely basis and ready to be presented when required.
  7. Take notes at quality meetings.

Induction

  1. Plan the Trainee Induction, reviewing current induction programmes, booklets, and welcome documentation.
  2. Invite speakers and confirm the day's programme.
  3. Provide a 'New Starters' database, listing required information.
  4. Liaise with Medical staffing, Occupational Health, ID Team, and IT to confirm new trainees.
  5. Liaise with all specialties to gain reporting destinations for the 'where to go after induction' document.
  6. Forward welcome packs to all expected new trainees.
  7. Re-confirm current Tutors and Education Leads and contacts list for induction booklet.
  8. Correspond with all trainees remaining in the Trust, reminding them to complete all mandatory training.

Person Specification

Qualifications

  • GCSE English & Maths at A*-C
  • Extensive and demonstrable knowledge of the full range of Microsoft Administrative Suite
  • NVQ 3 in Business Administration or equivalent
  • Advanced MS Office Skills

Experience

  • 18 months of office experience
  • Experience/knowledge of organising events/study days
  • Minute taking
  • Experience working in the health community
  • Experience of working with data sources and analysis

Practical & Intellectual Skills

  • Excellent interpersonal skills
  • Ability to work on own initiative
  • Proven organisational ability
  • Ability to prioritise workload
