Job description

Position: Portuguese/English speaking PA (Part Time)

We have a Brazilian client who recently moved to London from Madrid. He is an entrepreneur, philanthropist, and a prominent art collector. He travels between London, Madrid, and Sao Paolo and requires a part-time PA for both business and personal support, including ad hoc assistance to his wife who manages their art collection. The ideal candidate should preferably work afternoons due to the time difference with Brazil and must be fluent in both English and Portuguese.

Business Duties:

  1. Manage office operations, ensuring efficiency and organization.
  2. Oversee diary management, scheduling appointments, and coordinating meetings.
  3. Handle email and inbox management, prioritizing communications and responding where necessary.
  4. Plan and arrange travel itineraries, including transportation and accommodation.
  5. Conduct thorough research and prepare reports as needed.
  6. Assist in general business management tasks, supporting the entrepreneur’s various ventures.

Personal Duties:

  1. Coordinate personal travel and itineraries, ensuring smooth and enjoyable experiences.
  2. Provide administrative support for household management, including bills and household staff coordination.
  3. Schedule appointments and manage personal commitments.
  4. Assist with any additional personal tasks as required.

Art Business Support:

  1. Provide ad hoc support to the entrepreneur's wife with her UK art business, including research, project management, and event coordination.

Qualifications:

  1. Fluency in English and Portuguese is essential.
  2. Strong understanding of London, with a well-established network of contacts.
  3. Proven experience in a personal or executive assistant role, preferably supporting high-profile individuals.
  4. Exceptional organizational skills and attention to detail.
  5. Strong communication skills, both written and verbal.
  6. Ability to work independently and manage multiple tasks efficiently.
  7. Proficient in MS Office and familiar with various office management software.

Working Hours:

Part-time position with flexibility in hours; specific schedule to be discussed during the interview. Ideally, there will be afternoons as it is important to work/communicate with Brazil, which is 3 hours behind GMT.
