Job Description
We are looking for a Personal Assistant to the Finance Director to join our Finance Office at the House of Lords. This is a varied role where you will be responsible for providing administrative support to the Finance Director and Finance Office - which may include diary management, organising departmental events, managing office supplies or minute-taking.

This is an opportunity to work on-site at Parliament for 3 days a week with up to 2 days a week working from home, dependent on business need. This is an exciting position for someone who enjoys working in a fast-paced environment and networking/working with a range of stakeholders and colleagues. The successful candidate will have a strong track record of supporting senior leaders in a range of ways such as drafting correspondence and triaging and managing emails, with the ability to prioritise and organise this support.

You'll be accountable for:

  • Providing proficient diary management and administrative support to the Finance Director, liaising with Senior Officials Private Offices and Officer Holders Offices;
  • Administrative arrangements for meetings including meeting schedules, room bookings and liaising with attendees;
  • Minute taking and maintenance of action tracker for Finance Department meetings;
  • Planning and organising Departmental events, including research, on-the-day event management and awaydays;
  • Being the Finance Office Manager and deliver general administrative support to the office in order for it to function appropriately;
  • Effective management of office supplies;
  • Provide cover for the Executive Assistant in their absence;
  • Contract management of finance department equipment;

What we're looking for:
  • A strong track record of supporting senior leaders, including managing a complex diary, triaging, and managing emails and drafting documents and correspondence.
  • Demonstrable ability to exercise tact and discretion when dealing with confidential matters for a senior leader.
  • Proven ability to network, build trust, work together with, and communicate with staff at all levels.
  • A high level of initiative and the ability to manage conflicting priorities under pressure, reprioritising and delegating where necessary.
  • Experience identifying and resolving problems independently and proactively, as well as designing and improving administrative processes.
  • Excellent note taking and drafting skills.
