Brief Description
We are looking for an experienced and motivated individual to provide an efficient and effective personal support service to the Managing Director, Wales & Western and wider team, to support the delivery of their objectives. This will include the provision of proactive, efficient diary management for the Regional Managing Director (RMD), ensuring the preparation of necessary documents for meetings and events.

About the role (External)

This role presents an opportunity to work as an integral member of the support team to the Managing Director, Wales & Western, and will also involve the coordination of communications to and from the Managing Director and supporting the Programme Director in overseeing executive team activities, projects, and meetings.

The successful candidate will approach requests with a solution-focused mindset to effectively assist both the Managing Director and stakeholders.

Your Main Responsibilities will be to:

  1. Manage the Directors calendar.
  2. Manage the Directors personal budget, making comprehensive records available at all times.
  3. Make arrangements for functions, conferences visits and meetings.
  4. Co-ordinate and prepare agenda and papers for executive meetings and assist with any follow-up action as necessary.
  5. Supervise and organise workloads for clerical support team in conjunction with other functional managers.
  6. Maintain an efficient filing system paying particular attention to records of standing meetings, statutory records and authorisations.
  7. Utilise financial and procurement systems and act as Local Purchasing Agent (where directed).
  8. Review accounts received and process invoices for payment in accordance with Internal Control procedures.
  9. Process and maintain weekly personnel records.

You will ideally have:

  • Excellent organisation skills
  • Experience of working with senior management
  • Excellent time manager
  • Ability to work under pressure
  • Good MS Office skills
  • Ability to work on own initiative

Desirable:

  • Sound railway background and knowledge of railway geography
