Warwickshire County Council is looking for an experienced person to support the Director of Finance and the wider Finance Service. About You:
You will be an experienced Personal Assistant (PA) with knowledge of supporting senior executives.
You will play a crucial role in supporting the Director of Finance, ensuring the smooth operation of their working day to make certain that their time and energy is used where most valuable in the Council.
You will also play a pivotal role in supporting the wider finance service area, and Senior Leaders within the Resources Directorate when required, to achieve business excellence through comprehensive administrative support.
Skills
- Exceptional communication skills, both written and verbal, with the confidence to engage with people at all levels.
- Exhibit flexibility and adaptability, thriving both independently and collaboratively as part of a team, while maintaining a positive attitude and embracing new challenges with enthusiasm and a proactive approach.
- Process financial administrative tasks including forecasting, invoicing and raising purchase order numbers, and using the in-house finance systems with high attention to detail.
- Comfortable in handling sensitive and confidential information with discretion and professionalism.
- Outstanding attention to detail and deadlines.
- Well-developed organisation and planning skills with the ability to multi-task.
- Ability to filter information and assess priorities.
- Be proficient in Microsoft Office and other relevant software, such as those used for minute taking.
- Demonstrate resilience and calm during high-pressure situations.
Experiences:- A background in providing high-level support, as a Personal Assistant.
- Experienced in accurately recording meeting minutes, capturing key discussions, decisions, and action items with attention to detail.
Ultimately, our director is looking for an individual who will support and enable them in all aspects of their role to ensure they can fulfil their duties effectively and efficiently for Warwickshire.
Key Responsibilities of a Personal Assistant (PA):- Oversee and coordinate all correspondence, enquiries, travel arrangements, and diary management for the Director, providing proactive support to enable them to fulfil their strategic and managerial duties.
- Act on the Director's behalf with diplomacy and judgment, both reactively and proactively, to support their responsibilities.
- Serve as the primary point of contact for the Director, managing ad hoc requests and queries from internal and external sources, ensuring timely action and resolution.
- Anticipate needs, exercise sound judgment, and take initiative to assist the Director and team.
- Troubleshoot problems, remain solution-focused, and manage pressure effectively.
- Safeguard sensitive information, always maintaining confidentiality.
- Build and maintain relationships with stakeholders, including Councillors and external partners.
- Collaborate within the Executive Support Team to maintain high-quality standards.
