With Intelligence are recruiting a People Operations Specialist to join our team. In addition to supporting with front line HR enquiries and processing, as the HR Operations Team subject matter expert, you will act as second line support to the HR Hub’s Administrators and be their mentor and team lead. You will be an HR Generalist with strong experience providing employment lifecycle process support as part of an HR shared services delivery team. You will help the HR Hub to continually improve our day-to-day HR processes, procedures and administration, in line with our ambition to build Beautiful Basics.

You must be able to provide strong administrative support to achieve positive experiences for our employees and help to deliver our ambitious people strategy that will enable the long-term growth and performance of the business.

Responsibilities

  • Lead and own the HR administrative processes to deliver an accurate, efficient and customer-focused service, aiming to achieve Beautiful Basics.
  • Deliver excellent quality administration for core HR employee life cycle processes, including but not limited to the new starter process, leaver process, contractual changes, maternity and paternity leave.
  • Own and maintain the HR Hub process training guides, tools and materials.
  • Proactively review and manage HR administrative processes and put recommendations forward for improvements, create efficiencies and streamline systems of work for a global and scalable approach where possible, taking all stakeholders into account.
  • Support, coach, mentor and develop the HR Administrator team’s skills and performance.
  • Act as second line support for all HR Hub enquiries, triage, prioritisation and escalations to the wider HR Team as required.
  • Provide back up for the HR Administrators and first line task management, monitoring the HR inbox and dealing with a high volume of queries.
  • Help to define Service Level Agreements and standards, driving the team to meet these targets and service delivery standards.
  • Ensure proper completion, processing and filing of employment and legal documentation.
  • Ensure a professional approach is always delivered with particular emphasis on maintaining confidentiality.
  • Maintain HRIS data integrity, accuracy and reliability – updating employee details, new starters, leavers, absences and user profiles, running reports and ensuring accurate use of platform.
  • Provide administrative support for cyclical and ad-hoc activities including performance appraisals, compensation review cycles etc.
  • Adhere to all company policies and procedures and always provide a high-quality customer focused service to internal and external stakeholders.
  • Provide cover for colleagues during periods of absence.
  • Support with creating offer letters and contracts as may be required.
  • Involvement in HR Projects and any other duties as may be required.

Minimum Requirements

  • Demonstrable experience of working in HR administration, within a shared service and multi-site environment.
  • Proven experience in a similar role, ideally in a complex, fast-paced organisation.
  • A HR related qualification/CIPD qualification would be desirable.
  • Excellent communication, interpersonal and problem-solving skills, with the ability to build rapport and establish relationships with stakeholders at all levels and within the wider People & Culture team.
  • Proactive, highly motivated individual with strong attention to detail and a high degree of accuracy.
  • Can clearly explain problems and issues to others and uses problem-solving and diagnostic skills to resolve these.
  • Good team leader, who leads by example, and has solid experience in coaching, training and developing team members.
  • Able to work independently and handle multiple tasks simultaneously in a fast-paced environment.
  • Able to manage and prioritise high volumes of work and use sound judgement to escalate issues when required.
  • Good working knowledge of general HR policies, best practice and processes across the full spectrum of the employment lifecycle.
  • Good knowledge of MS Office software, e.g. Outlook, Word, Excel & PowerPoint.
  • Proficient in HR systems and tools, dealing with electronic filing and archiving systems.
