About the Role

Reporting into the Parts Manager, the Parts Specialist will manage the processing and tracking of spare parts orders, ensuring smooth execution and timely resolution of urgent demands, thereby contributing to efficient operations and customer satisfaction.

Order Processing

  1. Process incoming orders for spare parts accurately and promptly.
  2. Verify order details such as part numbers, quantities, and delivery dates.
  3. Track orders from receipt through to completion, ensuring timely execution.

Inventory Management

  1. Monitor inventory levels and reorder parts as necessary to prevent stockouts.
  2. Collaborate with the Spare Parts Manager to ensure optimal stock levels and efficient inventory turnover.

Documentation and Record Keeping

  1. Maintain accurate records of all orders, deliveries, and returns.
  2. Update the inventory management system with current stock levels and transaction details to ensure data integrity.

Problem Resolution

  1. Identify and resolve any issues related to spare parts orders, such as incorrect shipments or damaged goods.
  2. Prioritize and solve the demand for urgent orders to minimise disruptions and maintain customer satisfaction.
  3. Work closely with the Parts Manager to implement corrective actions and continuous improvement initiatives.

Experience to Succeed

  1. Minimum of 3 years of experience in automotive spare parts or coordination, preferably within a dealer group or car brand company.
  2. Experience in a similar role handling orders and inventory management.
  3. A bachelor’s degree in a related field.
  4. Strong attention to detail and organizational skills.
  5. Effective communication and interpersonal skills.
  6. Proficiency in using inventory management software and digital tools.
  7. Ability to work well under pressure and meet deadlines.
  8. Customer-centric mindset and a proactive approach to problem-solving.
  9. Experience supporting a sizeable, fast-moving business.
  10. Experience with automotive manufacturing or EVs is a bonus.
