Partner University Administration Officer
We have an exciting opportunity available for a Partner University Administration Officer to join one of the world’s leading research Institutes at a crucial time in its evolution, and play a definitive role in shaping it for the future. You will join us on a full time, fixed-term contract for 11 months, and in return, you will receive a competitive salary starting from £34,500 per annum plus benefits, subject to skills and experience.

The Partner University Administration Officer role:
This is a key role providing administrative support for the RMS team but with a main focus on supporting the partnership activities associated with the three founding universities; King’s College London, University College London and Imperial College London. The Crick’s mission is Discovery without Boundaries and a key part of achieving this is to work with our university partners to create new opportunities for researchers, clinicians and students involving collaboration, career development and networking.
Responsibilities of our Partner University Administration Officer:
- Supporting the Partner University Liaison Manager in developing efficient and effective processes for the University Partnership activities.
- Helping to maintain accurate data and records for university attachment group leaders and joint appointments, including lab members.
- Supporting the administration of the University Affiliation Scheme for Crick Group Leaders.
- Managing the Partnership Networking Fund Call as required usually 2-3 times per year.
- Ensuring the visibility of university attachments is achieved internally and externally (websites), including collecting data for new attachments.
- Supporting the pastoral care and structured review points for university attachment holders, including organising and attending welcome meetings, regular check-in meetings and exit meetings.
- Assisting with the website maintenance for the University Partnership pages (external and internal).
- Supporting agenda planning and minute taking, including acting as Secretary to the monthly Partnership Managers meeting.
- Assisting with the administration of the University & Academic Partnership Committee (UAPC) as required.
- Arranging meetings and taking notes/minutes as required for the Partner University Liaison Manager.
- Providing administrative support within the RMS team, including:
- Support for the Group Leader Recruitment processes, including management of the application process, assisting with the administration of committee meetings, including diary invites, room bookings, agenda preparation and the drafting of minutes.
- Assisting with visits and tours as required.
- Ordering and monitoring of stationery.
- Supporting the monthly RMS team meetings.
- General administrative support to members of the RMS team.
- Providing cover for the PAs to the Crick’s senior leadership team, including:
- Providing temporary cover for the Directors’ PAs when they are on annual leave or away from the office for protracted periods.
Skills and experience we are looking for in our Partner University Administration Officer:
- Educated to degree level or significant experience of working at a similar level.
- Experience working in an academic environment.
- Experience in scientific administration and committee work.
- Significant experience in successfully operating in a sensitive/confidential environment.
- Experience in interpreting, evaluating, summarising and communicating data.
- Excellent interpersonal skills; ability to communicate well with people at all levels of seniority.
- Confident, flexible, and diplomatic.
- Excellent organisational, time management, and administrative skills.
- Excellent written and oral communication skills.
- Excellent attention to detail.
- Good knowledge of using computers and database software packages.
- Project management skills.
- The ability to work under pressure and meet deadlines.
- The ability to work under own initiative and as part of a team.
