Team Coordinator

Job Title: Team Coordinator

Location: Tottenham Court Road

Pay: £16 - £20 per hour

Duration: Temporary (4 -5 weeks) - Starting March 3, 2025

Hours: Tuesday - Thursday 9am-5pm (could flex up to 4 days per week)

Responsibilities: As a vital member of our dynamic team, you'll bring your expertise and enthusiasm to ensure smooth operations. Here's what you'll be diving into:

  1. Documentation Magic: Quickly and accurately create letters, reports, presentations, and invoices using Word, Excel, and PowerPoint.
  2. Proofreading Pro: Ensure reports are polished and error-free before reaching clients.
  3. File Management Guru: Maintain organised file records and databases, keeping information secure yet accessible.
  4. Finance Liaison: Raise asset and fee invoices, manage cases on NetSuite, and assist with financial paperwork.
  5. Sales Support: Prepare marketing materials, handle enquiries, and monitor cash receipts.
  6. Team Player: Provide timely assistance to internal teams (Real Estate, Lending & Transactions, Legal) with professionalism.
  7. Email Efficiency: Utilise email to enhance team productivity and meet business goals.
  8. Data Management: Track work and engagement through Excel, Epona, and Salesforce.
  9. NDA Processing: Manage initial NDA requests and liaise with third-party representatives for real estate info.
  10. Administrative Support: Assist Senior Directors and Managing Directors with scheduling, travel, and expense claims.
  11. Legal Team Assistance: Help with consultant contracts and law firm onboarding.
  12. Meeting Coordinator: Organise internal and external meetings, including agendas and materials.
  13. Flexibility & Teamwork: Cover for fellow team members during absences and assist with ad-hoc projects as needed.

Knowledge, Skills & Abilities:
  1. Previous experience within a PA/Team Assistant/ Team Coordinator role.
  2. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint).
  3. Concur system experience.
  4. Strong attention to detail and excellent organisational skills.
  5. Ability to maintain client confidentiality.
  6. Proactive with a knack for managing multiple priorities in a fast-paced environment.
  7. Outstanding verbal and written communication skills.
  8. Relationship-builder with a dynamic and energetic approach.
  9. Quick learner who loves challenges and new experiences.
