Job description

Type of Position: PA to MD - London
Pay: £40k - £50k

PA to MD - London

Our client is looking for an experienced Personal Assistant to join their team in London. The role consists of providing comprehensive executive assistant and client servicing to the Managing Director of a Wealth Management firm.

Key Responsibilities of the Job

  1. Ability to manage and prioritise internal and external demands to the Managing Partners
  2. Diary management and client servicing to the Managing Partner
  3. Ensure the MP is fully prepared for all meetings with all necessary documentation and information
  4. Monitor and respond to emails throughout the day; actioning and responding to any client requests in a timely manner and prioritising inbox in accordance with requirements
  5. Managing and ensuring client actions are completed using the task system
  6. Structuring advice summary emails to the client within 6 months (checked by adviser) and 1 year (with no supervision) and be able to demonstrate understanding of the advice given.
  7. Preparing Strategy Documents, LifePlans. Ensure all documents are appropriately personalised, accurate and comply with company standards- by close of business 5 full working days prior to the third meeting.
  8. Preparing Voyant reports. Inputting the client’s information in order to create a base plan, create ‘what if’ scenarios and generate reports
  9. Business submission CFR
  10. Preparing Analytics reports. Locating funds and pre-populating client portfolios, producing fund and performance analysis
  11. Diary management - booking existing clients, prospect referrals plus all business-related meetings in.
  12. Managing the client review meeting process
  13. First point of contact; dealing with incoming telephone calls and emails
  14. Proactively managing the LOA process and expediting information retrieval from external pension and investment companies
  15. Meeting pack preparation - for existing and potential client meetings and binding these
  16. Taking meeting notes of your own plus typing up the Advisers notes
  17. Generating and booking in 5 kept meetings per month
  18. Planning and managing client events
  19. Creating new client records and keeping the information up to date
  20. Submitting fund switches and obtaining product valuations
  21. Confirming receipt of client’s funds with SJP Admin Centres and informing the client
  22. Client servicing actions i.e sending Birthday and Christmas cards
  23. Any ad hoc requests the Partner may want you to undertake
