Job description

This PA post will provide confidential and high-level administrative support to both the COO and CPO, ensuring efficient operation of their offices. The role demands exceptional organisation, the ability to handle information with discretion, and the capacity to manage multiple priorities.

You will:

  1. Manage the diaries for the COO and CPO, ensuring effective scheduling of meetings, appointments, and events.
  2. Handle and prioritise all correspondence on behalf of the COO and CPO, drafting responses where appropriate.
  3. Act as a first point of contact for both the COO and CPO, handling queries professionally and directing them as necessary.
  4. Prepare confidential documents, reports, presentations, and communication.
  5. Ensure the COO and CPO are reminded of key deadlines, meetings, and important tasks.
  6. Organise meetings, including setting agendas, preparing meeting materials, coordinating logistics (venues, catering, IT), and ensuring smooth execution.
  7. Attend and minute meetings as required, ensuring all actions are accurately captured and followed up.
  8. Coordinate regular and ad-hoc meetings for leadership teams, ensuring that key stakeholders are kept informed of all arrangements.
  9. Provide general administrative support to both the COO and CPO, including record-keeping and document management.
  10. Administration of the Trust insurance policies (assisting with enquiries, notifications and claims).
  11. Manage confidential and sensitive information related to operational and HR matters in accordance with GDPR and organisational policies.
  12. Assist with various projects and initiatives led by the COO and CPO, ensuring timely progress and completion.

Minimum Requirements:

  1. Proven experience providing PA support at a senior level, ideally for executive leadership.
  2. Minimum of GCSEs in English and Maths (Grades A-C) or equivalent.
  3. Familiarity with working in a fast-paced environment where multi-tasking is required.
  4. Experience in a school, charity, or similarly regulated environment is desirable.
