Role Overview
We are looking for a temp to perm PA/Senior Administrator to join our team in Basingstoke on a Hybrid basis (2-3 days a week in the office).
You will provide comprehensive administrative support primarily to one executive, and other senior leaders as required.
You will be responsible for managing the executive’s calendar, arranging their travel and other associated activities, as a priority.
In addition, as appropriate, you will provide support with travel and administrative activities for other leaders.
You may also undertake project activities such as events management, local office administration and ensuring smooth and efficient operations.
The contract will be for an initial 3-6 months with a chance to either extend or make permanent.
You Will
- Executive Support: Provide proactive high-level administrative support to the executive, including managing schedules, organizing meetings, handling correspondence, travel and expense management, preparing reports and presentations.
- Administrative Assistance: Work with the EA team to support other leaders and managers with administrative tasks such as scheduling, document preparation, travel expense management and meeting coordination.
- Travel Management: Coordinate travel arrangements, including booking flights, accommodations, and transportation for the senior executive and other team members.
- Communication: Serve as a point of contact for internal and external communications, ensuring timely and professional responses.
- Event Coordination: Assist in planning and organizing company events, meetings, and conferences.
- Documentation: Maintain accurate records and files, ensuring confidentiality and security of sensitive information.
- Office Management: Support the day-to-day operations of the local office, including maintaining office supplies, coordinating with vendors, and ensuring a smooth workflow.
- Project Support: Provide support for special projects and initiatives as directed by the executive and other leaders.
- Problem Solving: Address and resolve administrative issues promptly and efficiently.
Requirements
- Proven experience as a PA/Senior Administrator or in a similar administrative role working in a fast-paced environment.
- Experience of working in a global organisation and operating across multiple time zones.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Detail-oriented and able to multitask and prioritise effectively.
- Strong interpersonal skills; ability to deal with people of all levels; flexible and pragmatic with an agile approach.
- Ability to work collaboratively with key stakeholders and as part of a team. Build and maintain excellent working relationships with both external contacts and employees worldwide.
- High level of proficiency in office software (e.g., Microsoft Office Suite), including PowerPoint, SharePoint, Teams, etc.
- Ability to handle highly confidential information maintaining discretion at all times. M&A experience desirable but not essential.
- Experience of preparing presentation material to tight deadlines.
- Experience in office management would be desirable but not essential.
