Are you an experienced administrator with a strong background in providing high-level support? Belfast City Council is currently seeking a Personal Assistant / Secretary to the Directors within the City and Neighbourhood Services Department. About the Role:

As a PA / Secretary to Directors, you will play a pivotal role in supporting senior management by providing a full range of personal assistant and secretarial duties. From managing diaries and preparing reports to liaising with senior representatives and supervising administrative staff, your contributions will be essential to the smooth running of the department.

Your Duties:

  1. Compose and type confidential correspondence and reports on own initiative or under instruction.
  2. Manage confidential mail and monitor the Director's emails.
  3. Schedule appointments, meetings, and events, and handle enquiries in the absence of Directors.
  4. Assist in preparing committee reports and maintain manual/electronic filing systems.
  5. Filter and make telephone calls on behalf of Directors and DMT.
  6. Liaise with councillors, MLAs, MPs, and senior staff on behalf of the Directors.
  7. Handle public enquiries, complaints, and Freedom of Information requests.
  8. Organise travel and accommodation arrangements.
  9. Service meetings, take shorthand/audio notes, and draft minutes.
  10. Supervise and support secretarial and business support staff.
  11. Manage hospitality arrangements and participate in HR processes such as recruitment and training.
  12. Ensure compliance with council policies, including customer care, health and safety, and equal opportunities.

Your Profile:

Essential Criteria:

  1. Five GCSEs (grades A-C) including English or equivalent, OR successful completion of a relevant computer-based assessment test.

At least two years' relevant experience in:

  1. Diary management and liaison with senior personnel.
  2. Secretarial and administrative duties including filing and correspondence.
  3. Supervising office-based administrative staff.

Desirable Criteria (Short-listing may apply):

  1. RSA Stage II in Audio Transcription or Word Processing (Parts 1 and 2).
  2. RSA Stage III Word Processing or equivalent.
  3. Additional secretarial qualifications such as LCCI Private Secretaries Qualification.

Your Benefits:

  1. £20.02 per hour.
  2. Pension Contribution.

Additional Information:

  1. Full time, Temporary.
  2. 37 hours per week, Monday to Friday.
  3. Based at 4-10 Linenhall Street, Belfast.
