About the Team:

The Business Operations Team is responsible for the administration and smooth running of our busy office. You will be the first hire as part of a strategic growth plan, working underneath the Commercial Director and alongside the Financial Controller.

The team supports both contract and permanent recruitment placements, ensuring a high level of service to clients, candidates, and consultants. With a strong focus on efficiency, accuracy, and collaboration, they play a crucial role in maintaining the seamless operation of our business.

About the Role:

You will be working within the Business Operations team, supporting the entire organisation with their day-to-day activities. Your responsibilities will include:

  1. Raising contracts for clients and contractors
  2. Requesting and checking compliance documentation
  3. Working closely with the sales team, including Directors
  4. Onboarding contractors
  5. Processing timesheets
  6. Processing invoices for payment
  7. Running internal and external reports
  8. CRM / ATS administrative support
  9. Tender / bid administration and submission support
  10. Distributing enquiries from a range of channels - e.g. email forms and voicemails
  11. General support assisting the Commercial Director and Finance Controller
  12. Facilities management, office supply management, event management, charity support

You'll need an open-minded, proactive approach and a willingness to take on a wide range of tasks, including those outside your immediate responsibilities, to support the team effectively.

Your Skills Must Include:

  1. Experience in general office administration, ideally within a recruitment/sales/customer service environment
  2. A high level of computer literacy, proficient in Microsoft Office applications including Word, Outlook, and Excel
  3. Experience using in-house database systems
  4. Excellent oral and written communication skills, with strong interpersonal skills
  5. Experience issuing and managing contracts
  6. Ability to adapt quickly to changing priorities, embrace the ideas of others, and adjust your ways of working accordingly
  7. Ability to manage your time and diary effectively to ensure tasks are completed efficiently and appropriately
  8. Strong attention to detail and adherence to best practice to maintain high-quality output
  9. Proactively anticipate and support the activities of other team members
  10. Work effectively and cooperatively with others
  11. Comfortable working to deadlines and enjoy being part of a close-knit team that plays a crucial role in the company's success
  12. A positive "can-do" attitude and ambitious to learn

Hybrid Working:

Hybrid working arrangements will be available upon successful completion of your probation period, subject to agreement with your manager and alignment with business requirements.
