Operations Analyst - Resource Management & Contract Operations

Our client is recruiting an Operations Analyst to support our Professional Services Sales and Delivery teams in EMEA. You will be part of the Consulting Services Organization which helps customers and partners to initiate and manage their digital marketing and transformation projects using the Digital Marketing Cloud.

Your time will be divided between Resource Management Office (RMO) and Contract Operations duties, with flexibility according to peaks in demand. You will work in close partnership with other functions, including Revenue Operations, Deal Assurance, Deal Desk, Legal, Credit and Order Management, and the Vendor Management Office.

RMO is responsible for staffing professional services engagements, building high-performing teams who can deliver successful outcomes for our customers. We aim to achieve high levels of utilization and support our consultants in developing their skills and careers.

Duties will include:

  1. Working in partnership with Sales and Delivery colleagues to develop a mid to long term view of pipeline demand for Professional Services.
  2. Ensuring that high-quality resource requests are raised in a timely fashion.
  3. Supporting Sales and Delivery colleagues in their day-to-day tasks using our Employee Resource Planning tool, Microsoft Dynamics. In time, you will become a subject matter expert and proactively share your knowledge.
  4. Vendor management - onboarding & offboarding of vendor resources, raising & governance of purchase orders, and ensuring that all related activities are executed in line with Adobe standards.
  5. Producing weekly reports on topics related to RMO operations including availability, lead times, open requests, and other KPIs.

Contract Operations is responsible for processing contract changes, supporting from initial change requests through planning and guidance, executing, monitoring to closing.

Duties will include:

  1. Preparing/creating/processing contract amendments relating to Professional Services contracts (Project Extensions, Budget Reallocations, Contract Addendums, and Terminations) in line with Adobe process standards.
  2. Acting as the first point of contact in the region for all queries referring to change order requests, related policies and processes, Adobe's Professional Services Automation system, and any related operating systems.
  3. Coordinating internal alignment on complex change orders and supporting the approval process.
  4. Communicating internally with involved stakeholders and externally with clients and/or partners.
  5. Monitoring and reporting the overall change order status on a regular basis.
  6. Tracking correct project configuration and billing upon receipt of executed contract amendments.

In everything you do, we expect you to take ownership of data quality, be proactive about identifying anomalies or variances, and making recommendations for resolution.

Essential Skills:

  1. Excellent communication skills - written & verbal.
  2. Highly organized with the ability to balance cyclical work with ad hoc, short-notice demands - needs a 'can-do' attitude.
  3. Detail-oriented with strong analytical and problem-solving skills.
  4. Able to work without direct supervision - must be a self-starter.
  5. Proficiency in Microsoft 365 applications, especially Microsoft Excel (proficiency with Pivots, vLookup, etc. is essential).
  6. Fluent in English; German would be a strong bonus.

The ideal candidate will also have experience with:

  1. Employee Resource Planning (ERP) software, ideally Microsoft Dynamics.
  2. Salesforce.
  3. PowerBI.
  4. Atlassian JIRA.
