Job Description

The Onboarding Project Manager is a hands-on organiser and doer, who is both:

  • An organiser and influencer, who ensures there is a plan, that is deliverable, and that gets done to expected timescales;
  • A practical facilitator, who makes change happen and makes change stick - who partners with people to adapt their everyday work.

Accountabilities

  • Manage a large onboarding project, as allocated by the Change Management Office across a number of business functions including finance, operations, compliance and regulatory.
  • For each allocated project:
    • Project Manage delivery of a client onboarding project to achieve completion as quickly and effectively as possible, with accountability to:
      • Develop the project plan - identify, scope and schedule project deliverables.
      • Drive progress to plan (time, cost and quality) through active monitoring, adjustment, communication and escalation:
        • Run status reviews and working groups / steering groups as required;
        • Control changes to the plan;
        • Manage dependencies, risks, costs and resources;
        • Identify and resolve issues, including by escalating issues to the right people and tracking follow-up;
        • Act as the central communication point for stakeholders, identifying who needs to know what, when and making this happen.
    • Drive actions to adapt the business so it sustains new ways of working post project go-live:
      • Ensure the project's required implementation "end state" is defined;
      • Identify what business changes will be required to reach this "end state", including people-related factors like buy-in and capabilities;
      • Manage delivery of these changes to realise the "end state" - for example, broker relationships, implement new processes/technology, run trials/prototypes, run training, etc.
    • Support the Change Management Office to run reporting and manage resources across a portfolio of change projects, by providing:
      • Project data / information as required.
      • Capacity estimates / data.
    • As required:
      • Act as a subject matter expert on project management, change management and implementation, for example by:
        • Mentoring/coaching others in project/change management;
        • Supporting the establishment and development of a change/project management methodology and toolset.

    Transferring knowledge, templates and lessons learned as part of closing down each allocated project at completion.

    The Successful Applicant

    Onboarding Project Manager Skills and Experience:

    Skills

    • Preferably degree educated or with equivalent professional experience in project and change management.
    • Highly skilled influencer, adept at relationship-building.
    • Proactive problem-solver who is tenacious at chasing down actions and resolutions to completion.
    • Sound background knowledge of financial services and infrastructures.
    • Desirable - Professional qualifications in project management and/or change management from a recognised body such as APMG, PRINCE2, etc.
    • Desirable - qualifications / skillset in multiple project management methodologies such as waterfall and Agile.
    • Desirable - qualifications / skillset of change management theory and practice.

    Experience

    • Experience Project Managing client onboarding projects.
    • Knowledge and experience within end to end onboarding process such as AML, FATCA and tax implications.
    • Experience either as a project professional and/or as a manager who has extensive experience implementing business changes with a project-mindset.
    • Experience managing complex business change projects with people, process and technology changes, with a track record of successful implementation to time, cost and quality.
    • Experience of post-acquisition integration implementation would be strongly beneficial.
    • Experience from a business function background such as operations, finance, regulatory or compliance would be useful.
    • Sound experience of implementing new products / new business projects, within a Brokerage or Capital Markets business.
    • Desirable - experience developing and delivering business change strategies/plans, using change impact assessment or other change management techniques, with a track record of achieving benefits realisation.
    • Desirable - experience in identifying target operating models and driving organisational changes.
