Overview. HFS Consultancy Ltd, a leading educational recruitment agency, is seeking a highly organized and proactive Office Manager to oversee the day-to-day administrative operations of our office. The successful candidate will be responsible for ensuring the smooth running of office operations, managing administrative staff, and providing support to the management team.

Key Responsibilities.

  1. Administrative Management.
  • Oversee and manage daily office operations to ensure efficiency and productivity.
  • Develop and implement office policies and procedures.
  • Maintain office supplies inventory and place orders as needed.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff.
  • Manage office budget, track expenses, and prepare financial reports.
  • Recruitment Support.
    • Assist with the coordination and administration of recruitment processes.
    • Support the recruitment team with scheduling interviews, managing candidate communications, and maintaining recruitment databases.
    • Ensure compliance with recruitment regulations and company policies.
  • Staff Management.
    • Supervise and support administrative staff, including hiring, training, and performance evaluations.
    • Delegate tasks and responsibilities to ensure effective workflow.
    • Foster a positive and collaborative office environment.
  • Communication and Coordination.
    • Serve as the main point of contact for office-related inquiries and communication.
    • Liaise with other departments to ensure smooth operations and effective communication.
    • Coordinate with external vendors and service providers.
  • Office Maintenance.
    • Ensure the office is clean, organized, and well-maintained.
    • Oversee maintenance and repair of office equipment and facilities.
    • Implement and monitor health and safety protocols.
  • Support to Management.
    • Provide administrative support to the management team, including preparing reports, presentations, and correspondence.
    • Assist with special projects and events as needed.
    • Manage confidential and sensitive information with discretion.

    Qualifications.

    • Proven experience as an Office Manager or in a similar administrative role, preferably within a recruitment or educational setting.
    • Excellent organizational and time management skills.
    • Strong leadership and team management abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Knowledge of office management procedures and best practices.
    • Strong verbal and written communication skills.
    • Ability to multitask and prioritize tasks effectively.
    • Attention to detail and problem-solving skills.
    • Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
