Job description

About Us:
iFindTech is a fast-paced and growing tech recruitment company based in Brentwood. We're passionate about connecting top talent with forward-thinking technology businesses. As we continue to scale, we're looking for a highly organised and proactive Office Manager/Personal Assistant to help keep our day-to-day operations running smoothly.

The Role:
This is a varied and hands-on role where your primary focus will be managing the office and ensuring everything is running efficiently. You'll also provide support to the CEO & Co-founder in a PA capacity when required.

Key Responsibilities:

Office Management (Primary Focus):
  • Oversee the daily running of the office and ensure a professional, tidy and efficient working environment.
  • Coordinate office maintenance and handle any issues that arise.
  • Support onboarding processes for new starters including setting up Microsoft Office accounts alongside our third-party IT support, display fusion split screens, desks, systems and documentation via our e-sign platform Oneflow.
  • Organise team events both local and London based, meetings and occasional socials such as lunches and company sports day.
  • Oversee travel arrangements for the Directors and the team to Sweden & Norway on an ad hoc basis, coordinating flights, hotel accommodations, transfers, and events.
  • Assist with basic finance/admin tasks, including invoices and supplier payments.
  • Act as the main point of contact for external vendors and service providers.
  • Create content for social media using ChatGPT and Canva for platforms such as Instagram & LinkedIn ensuring it is tailored to our target audience.
  • Produce weekly and monthly reports on consultant activity and company statistics for Team Managers.
  • Manage and provide training to Consultants on internal systems such as the internal CRM, Phone system and other chosen tools that the company uses.
  • We will provide training to you in order for you to become a Super user on all before you are expected to train others.
  • Manage office supplies, IT equipment and liaise with suppliers when needed.
  • Oversee the management/process of all new client Terms & Conditions, references and contracts.
Personal Assistant Support (Secondary Focus):
  • Assist with business administration tasks and occasional personal errands.
  • Draft emails, documents or reports on behalf of the directors.
  • Help prioritize tasks and keep projects on track.

What We're Looking For:

  • Proven experience in a similar Office administrator or personal assistant position, ideally in a fast-paced environment or similar recruitment business.
  • Excellent organizational and time management skills.
  • Proactive, resourceful and able to work independently.
  • Confident communicator with strong written and verbal skills.
  • Tech-savvy and comfortable using office software and tools.
  • Trustworthy and able to handle sensitive information with discretion.
