The role

As a key member of the Genetec UK team, the Office Coordinator will play a crucial role in managing day-to-day functions of the London office, helping ensure a productive and efficient work environment for our employees, and enjoyable and memorable visits for our guests.

The successful candidate will present themselves in a professional, friendly manner when interacting with colleagues and visitors. They will bring a positive attitude to the working environment and provide support with dedication, enthusiasm, and attention to detail.

What your day will look like

*This role requires 5 days in-office during working hours*

Office Administration

  1. Oversee the day-to-day operations of Genetec’s UK headquarters in London including phone, mail/courier, and other administrative tasks
  2. Support sales, marketing, and training teams in coordination and planning of office-based meetings and events
  3. Greet, badge, and chaperone guests as they visit offices for meetings and product demonstrations
  4. Ensure timely escalation of urgent and/or support tasks to Paris- and Montreal-based facilities, security, and IT teams
  5. Provide administrative support to local Director and Area Vice President as needed and as time permits

Facilities Administration

  1. Act as on-site interface and person of contact with landlord and key vendors as required by the Facilities team
  2. Ensure cleaning and support vendors are providing optimal services and that cleanliness/orderliness of the London offices are always maintained
  3. Manage office space allocation and layout and take responsibility for the overall tidiness and presentability of our office and show room spaces
  4. Manage catering and food/beverage vendors for the office while maintaining an eye for quality, value, and presentation

About you

  • Minimum 2 years of experience in responsible front of house roles such as retail management, host, reception, or related roles
  • Strong attention to detail
  • Strong communication skills
  • Excellent organizational skills
  • Ability to efficiently multitask
