Our client, a well-established construction project management company, is seeking an experienced and highly efficient Office Administrator to join their team. This role is ideal for a proactive and organised individual with a strong background in administration within the construction industry. The successful candidate will play a crucial role in supporting the team, managing office operations, and assisting with the preparation of quotations.

Key Responsibilities:

  • Email Management: Respond to and initiate emails on behalf of the team, ensuring timely and professional communication. File documentation received by email into relevant systems.
  • Diary Management: Maintain and update schedules efficiently, identifying and prioritising key tasks.
  • Meeting Coordination: Arrange meetings with relevant stakeholders, prepare necessary materials and agendas, and take minutes when required.
  • Project Assistance: Update project tracking software, maintain folders, and manage invoice trackers. Conduct ad hoc research and development tasks as needed.
  • Office Administration: Oversee office supplies, manage invoicing processes, and assist with basic bookkeeping tasks.
  • Ad Hoc Support: Provide proactive assistance to the team, ensuring all activities remain on track and deadlines are met.

Key Requirements:

  • Extensive experience in office administration within the construction industry is essential.
  • Highly organised, detail-oriented, and able to manage multiple tasks efficiently.
  • Strong written and verbal communication skills with a professional approach.
  • Proficiency in Microsoft Office Suite and project tracking software.
  • Ability to work independently, take initiative, and support a busy team effectively.
