Job description

A new and exciting position has arisen within our practice management administrative team. Working part-time, between 16 and 20 hours per week Monday to Friday.

We are looking for someone who is organised with strong skills in Excel, Word and Outlook with the ability to learn new IT packages swiftly. You will need to be someone that will enjoy supporting the wider Practice Team with all aspects of work that ensure the smooth running of both GP practice sites in Wem and Prees. The role is varied and will involve some HR, finance, health and safety and patient communications and will therefore require strong administrative, literacy, communication and numeracy skills.

Main duties of the job

The main duties of the role will involve:

  1. Supporting the Operations Manager which will include documenting and processing invoices for payment using QuickBooks.
  2. Amending and updating staff details on all clinical systems.
  3. Ensuring access to systems is assigned appropriately and compliance records are updated accordingly.
  4. Updating compliance records in line with GPDR/DSPT requirements.
  5. Updating and keeping the internal intranet up to date with all HR and Health and Safety matters.
  6. Undertaking premises checks across both sites and updating records appropriately within our intranet.
  7. Communicating with external organisations.
  8. Arranging meetings both virtually and on site at both practices.
About us

We are a medium sized practice based in the small town of Wem and the village of Prees. With seven GP Partners, a Management team, Nursing team, Data team, Dispensary and Reception team we employ over 40 staff across both sites. Job responsibilities
  1. Amending and updating staff details on all clinical systems, this includes but is not limited to the practice network, Emis, Docman, Teamnet, check comms, the NHS spine (smartcards) and NHS mail.
  2. Ensuring access to systems is assigned appropriately and compliance records are updated accordingly.
  3. Updating compliance records in line with GPDR/DSPT requirements.
  4. Adding, removing and amending appointment sessions within Emis.
  5. Adding clinical rotas to Teamnet.
  6. Booking locums.
  7. Undertaking premises checks across both sites and updating records appropriately within Teamnet.
  8. Communicating with external organisations.
  9. Arranging meetings both virtually and on site at both practices.
  10. Being responsible for recording of Practice Meeting minutes.
  11. Processing new patient registrations and amending patient registration.
  12. Processing forms submitted via the practice website.
Person Specification
Qualifications
  • Educated to GCSE level or equivalent.
  • GCSE Mathematics & English (C or above).
  • NVQ Level 2 in Health and Social Care.
