We are looking for an Office Administrator with a passion for working in the school environment to join our office team. We are a busy and welcoming primary & nursery school in Dennis Road, Birmingham. Experience in a school or similar setting and a calm, flexible and organised approach is essential.
You will possess excellent communication and organisational skills with the ability to complete work to a high quality, working to deadlines meeting the demands of the Senior Leadership Team. We are a team looking to appoint a suitable team player with a caring, equality-driven, positive ethos to match our school, working very closely with Senior Leaders, Governing Body, other professional agencies and parents.
Applicants should have at least a good pass at GCSE level in both English Language and Mathematics with the ability to demonstrate previous experience of administrative work including word processing, excel spreadsheets, maintaining databases, telephone and reception duties, school diary and management of timetables, whole school communication in the form of emails and the school website. SIMS experience is essential for this role. At all times you will be acting as an ambassador for the school. Additionally, you will demonstrate the need for confidentiality at all times, working to deadlines and managing several demands on your time.
Job Purpose
- This postholder will provide clerical and administrative support to the Headteacher, Senior Office Manager, and school to enable the delivery of a professional and efficient administrative service.
Key Responsibilities
- To be responsible for the efficient and effective running of the school office, under the direction of the Senior Office Manager.
- Responsibility for establishing contacts with a variety of outside suppliers of goods or services, the receipting of goods, and invoice processing.
- Responsibility for administering schools’ admissions procedures and accurately maintaining the pupil-related information system.
- Ensuring accuracy of pupil data on the MIS (Management Information System, i.e. SIMS).
- Supporting the Business Manager with Census i.e. provision of pupil data.
- Supporting parents with any concerns or queries.
- Maintaining pupil records, both manual files and system records i.e. SIMS.
- Ensuring the provision of clerical support including typing/word processing, reprographics, and filing.
- Supporting the Senior Office Manager with the set-up of meetings and school events.
- Providing admin/clerical support to the HT, under the direction of the Senior Office Manager.
- Liaising with the LA and other agencies in relation to pupil welfare, under the direction of the Head Teacher and/or Deputy Head Teacher.
- Responsibility for ensuring that an effective reception and switchboard service is provided.
- Supporting the Senior Office Manager with recruitment of new staff, volunteers, and work experience placements.
- Responsibility for compiling and returning statistical information as required by the LA and other agencies.
