Job description

We are looking for a Finance Administrator to join our Cashroom team based in Edinburgh. The successful candidate will undertake a Modern Apprenticeship and will be supported throughout their apprenticeship journey by a dedicated Skills Coach.

The successful candidate will undertake a Digital Applications SCQF Level 6 Diploma which should take twelve months to complete. The apprenticeship contract will last two years.

The Cashroom team is responsible for managing and maintaining the books and records of all Shepherd & Wedderburn LLP group companies to include all general ledger and client ledger transactions.

The objectives of the Finance Administrator will include, but not be limited to, all duties as noted in this document, whilst at all times ensuring compliance with all regulatory requirements (HMRC VAT rules, The Law Society of Scotland Solicitors’ Accounts Rules and The Solicitors Regulation Authority Accounts Rules 2011).

The role

Once full training has been provided you will be expected to be able to accurately and efficiently undertake all of the following tasks:

  • Preparation and submission of the firm’s cheque banking process to include the electronic filing of all copy cheques, reconciling cheque logs and dealing with all associated banking queries. (Cashiering)
  • Providing support as and when required to assist with the team’s electronic filing requirements. (Cashiering)
  • Produce and distribute regular reports including, but not limited to, daily transaction daybooks, monthly partner’s drawings account reports, monthly solicitor’s deposit account volume count report. (Cashiering & Controls and Reconciliations)
  • Responsibility for carrying out daily reviewing of client disbursements and the submission of related follow up requests to the firm’s billing team. (Controls and Reconciliations)
  • Providing administrative support to the firm’s credit control team to assist in the collection of outstanding debts (Credit Control)
  • Attending team meetings and contributing to any group discussions on cashroom procedures and ensuring all process documentation specific to the role is kept up-to-date at all times.
  • All ad-hoc tasks and projects which may arise from time to time and which require administrative support.
Skills/experience
  • Enthusiasm, accuracy and a sharp eye for detail will be essential.
  • Comfortable working as part of a team but also able to perform to your own initiative when required.
  • Strong interpersonal skills and comfortable communicating clearly both verbally and in writing.
  • You’ll be confident in your own judgement and skills, but also able to know when it’s necessary to call upon the help and expertise of others.
  • It is essential that you have strong organisational skills and the ability to work under pressure in a busy and demanding environment to strict timescales will be fundamental.
  • We are looking for someone who is flexible and reliable, who has a pro-active “can-do” attitude and a drive to succeed within our wider cashroom team.
  • You should be comfortable using Microsoft Word, Excel and Outlook.

Any knowledge of the Law Society of Scotland & SRA Solicitors’ Accounts Rules, HMRC Vat regulations or Anti-Money Laundering Regulations 2017 would be beneficial but not essential as all training will be provided.
