Job description

This role is designed to be a vital support to the IT Planning & Strategy Lead, ensuring smooth operations and strategic alignment across the team.

As an Analyst, you’ll play a key role in creating insightful IT Management Information (MI), touching every corner of the IT function. Your work will directly support the production of critical reports, such as monthly ExCo updates, recruitment and headcount tracking, KTLO financial tracking, cloud cost analysis, and risk & assurance reporting.

Beyond your regular reporting responsibilities, this role also offers a variety of ad-hoc administrative tasks across all IT functions. You’ll be supporting the IT Heads of Departments with any reporting needs or ad-hoc analysis they require, helping to ensure everything runs smoothly. Additionally, you'll play a key role in managing the procurement process for the IT Technical Delivery Team, ensuring that everything is in place for successful project execution.

How this role fits into the business:

  • This role is positioned within the CTO Office, reporting to the IT Planning and Strategy Lead.
  • The IT Planning and Strategy Team directly assists the IT Senior Management team through the production of regular high-quality MI, analysis and strategic planning in support of IT’s long-term strategic aims, financial planning and budget oversight, and other duties as required. The team will focus on supporting a continuous improvement culture in IT and will ensure that the IT Strategy is maintained and fine-tuned in response to wider organisational aims, changing business circumstances and advances in technology.
  • Outside IT, the team will feed into the newly formed Operations Business & Strategy Management Team, focusing on business management, strategic aims, and the target operating model across the whole of Operations.
  • The Analyst will support IT in their interactions with PIC’s Support Assurance functions (e.g. budgeting, recruitment, risk incident reporting & resolution, assurance reviews and actions). A key aspect of this is the preparation of appropriate MI and status reporting to enable oversight of these engagements.
  • Support Accounts Payable by ensuring purchase orders are created & closed on time and assist with the month-end accruals process.

Key Responsibilities:

  • Responsible for updating monthly reports including but not limited to; ExCo Report, IT Headcount Tracker, KTLO Financial Tracker & IT Management Information.
  • Raising Purchase Orders for the Technical Delivery Team, ensuring correct documentation is supplied and filed correctly in Egnyte.
  • Assist with onboarding of new suppliers and completion of necessary documentation by liaising with Tech Delivery Managers and TPM Team.
  • Attend KTLO meetings and take notes when required, focusing on risks/delays to projects which will have a financial impact.
  • Responsible for onboarding/offboarding of IT consultants working on KTLO Projects.
  • Responsible for raising Bloomberg Licence Orders and swapping BBG licences within the Bloomberg Portal when requested via ServiceNow.
  • Assist with the creation of IT Strategic and KPI reports for the CTO and Business & Strategy Management Team. Attend monthly meetings to present IT MI to the COO.
  • Assist with tracking software licence costs and providing visibility to other departments.
  • Providing administrative support to Heads of IT Department.
