Job description

As a Mess Accounts Bookkeeperat HM Naval Base, Portsmouth,you'll provide efficient accountancy administration to support the site. You're the one with the skills to ensure behind the scenes of facilities run like clockwork and ensure your managers feel supported.

What you’ll do:


Ensure that the Sage 50 accounting system is kept up to date to provide accurate information to key stakeholders as per the required schedule.
Provide all required monthly reports to the client
Maintain complete debtors and creditors information to assist with cash flow and provide visibility of the financial position of the mess to key stakeholders.
Maintain and add new private customers to Sage 50
Produce sales invoices for all mess and private functions.
Collect and accurately record all receipts.
Reconcile cash/cheques and ensure that all monies are correctly accounted for and have the correct auditable paperwork.
Ensure cash/cheques are always securely stored and compliant with security of cash procedures.
Reconciliation of bank accounts
Maintain and add all new suppliers to Sage 50
Record supplier invoices and credit notes on Sage 50
Complete all supplier payments by due dates after obtaining appropriate approvals and ensuring sufficient funds exist in the bank account.
Accurately record all supplier payments to produce and maintain accurate bank records.
Ensure all invoices and receipts are recorded correctly for VAT (if applicable)
Process the quarterly VAT return and forward to the authority for approval and onward submission.
Cover mess administrator role during any absence periods.
Produce accurate reports requested by the client in a timely manner to comply with mess rules and requirements.
Process all information with discretion and strict confidentiality to comply with data protection and other security requirements.
Maintain excellent client/customer relationships.
Attend team briefs, huddles and meetings as required.
Report any near miss occurrences, accidents, or faulty equipment to management.
Ensure effective communication with line manager, team, customer, and client organisation.


What you bring:

Essential:


Recognised Accountancy qualification (e.g. AAT level 3 minimum )
Knowledge of Sage 50
Accounting software experience
Knowledge of Charities and VAT regulations
Excellent standard of literacy and numeracy
Good knowledge of Microsoft Office (Excel, Word, Outlook)
Well organised with a strong ability to work to tight deadlines.
Accurate data entry skills with excellent attention to detail
Customer service focused and committed to providing a helpful, prompt, responsive service.
Ability to self-manage workload to achieve requirements.


Desirable:


Experience of working within a military environment
Previous experience in a client-facing role
