MEDICAL RECEPTIONIST

JOB DESCRIPTION

Job Title: Medical Receptionist

JOB SUMMARY: The successful candidate will multitask and support colleagues in providing an effective and efficient practice administration function, particularly regarding incoming and outgoing post, prescriptions, records management, scanning, coding, registration of new patients, and other relevant administration tasks. This will be in addition to booking appointments, answering telephone calls, and dealing with patients face to face.

Full training will be given.

PRINCIPAL RESPONSIBILITIES:

  1. RECEPTION DUTIES:
    1. Greet and assist patients and other callers and visitors seeking consultations, appointments, prescription advice, and results in a prompt, positive, professional, courteous, and helpful manner while protecting patient confidentiality.
    2. Ensure that patients without appointments but who need ‘urgent consultation’ are seen in a logical and non-disruptive manner.
    3. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed.
    4. Advise patients of relevant charges for private services, accept payment, and issue receipts.
    5. Respond to all queries and requests for assistance from patients and other visitors, advocating 111 where it is appropriate (e.g., general advice, details of support groups, NHS information) and explaining basic NHS policies. Be aware of correct procedures when a patient wishes to make a complaint or seek copies of their medical records.
    6. Ensure that requests for prescriptions are actioned where possible within 3 working days.
    7. Ensure reception and waiting areas are kept neat and tidy.
  2. MANAGEMENT OF APPOINTMENT SYSTEMS:
    1. Ensure total familiarity with the regular pattern of appointments at the Practice and be alert to any changes made because of leave.
    2. Make accurate bookings, clarifying with the patient what time the booking has been made for. Where a particular GP is not available at a particular time/location, the receptionist will offer another appointment with another GP (or at another time with the requested GP as appropriate) by reference to the next available appointment rather than suggesting there is no appointment available until such and such a time.
  3. MANAGEMENT OF MEDICAL RECORDS:
    1. Ensure correspondence, reports, results, etc., are scanned and filed in the correct order.
  4. PREPARATION OF CONSULTING ROOMS:
    1. Ensure that the consulting rooms are prepared in readiness for each consulting session, checking the full range of forms and requirements and re-stocking as required.
    2. Ensure that the consulting rooms are checked at the end of each consulting session and left tidy and secure.
  5. OPERATION OF TELEPHONE SYSTEM: Receive and make calls as required. Divert calls and take messages as appropriate.
  6. START AND END OF DAY PROCEDURES:
    1. Open up premises at the start of the day, unset alarm, and make all necessary preparations to receive patients.
    2. Turn computers on.
    3. Secure premises at the end of the day, ensure the building is totally secured, internal lights off, and alarm activated.
  7. ANY OTHER DELEGATED DUTIES CONSIDERED APPROPRIATE TO THE POST:
    1. Ensure all new patients are registered within the specified timescale.
    2. Be aware of responsibilities for health and safety, confidentiality, complaints procedures, NHS England policies, and appropriateness of Out of Hours as an initial point of advice for patients with general queries about health and the health service.
  8. SPECIAL REQUIREMENTS OF THE POST:
    1. An understanding, acceptance, and adherence to the need for strict confidentiality.
    2. An ability to use own judgment, resourcefulness, common sense, and local knowledge to respond to patient inquiries and requests.
    3. Patient-friendly and clear communication skills.

Job Types: Part-time, Permanent

Pay: Up to £11.44 per hour

Expected hours: No more than 25 per week
