We are looking for a professional who will work in reception of a busy general practice in Kenilworth. This individual will also handle daily administrative tasks of clinicians, staff, visitors, and patients. Some tasks will include greeting patients, answering telephone calls, and managing appointments. Our reception team is essential in the operation of a smooth and efficient medical centre.
We have 30 hours to offer within our core working hours of Monday to Friday 7.45am to 6.45pm.

Job Responsibilities
Main Purpose of the Post: To provide a point of contact for patients and act as a focal point of communication between patients, doctors, and other medical staff.
Responsible to: Reception Manager/Practice Managers
Major Duties and Responsibilities of the Post:
- Receive and make calls as required. Divert calls and take messages as appropriate.
- Respond to all requests by patients requiring appointments with members of the clinical team, ensuring adherence to the practice protocol for booking appointments.
- Book nursing appointments for recalls, following appointment timeframes.
- Manage all queries as necessary in an efficient manner.
- Periodically monitor patients still waiting to see the clinician to ensure patients are seen in a timely manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures to add these patients to the clinical system are completed.
- Data entry of new and temporary registrations and relevant patient information as required.
- Advise patients of relevant charges for private services, accept payment, and issue receipts for the same.
- Respond to all queries and requests for assistance from patients and other visitors.
- Enter requests for home visits and telephone calls into the appointments system, including all relevant information and where necessary refer to the managing doctor.
- Ensure that requests for prescriptions are processed within the practice set timeframe.
- Support all clinical staff with general tasks as requested.
- Scanning of patient-related documentation and attaching scanned documents to patients' healthcare records.
- Ensure reception and waiting areas are kept neat and tidy.
- Ensure adequate supplies of stationery and relevant forms are available within the reception area.
- Ensure all locum doctors are familiar with practice procedures on arrival and issue them with a locum pack.
Start and End of Day Procedures
- Open up premises at the start of the day, set alarm to day function and make all necessary preparations to receive patients.
- Secure premises at the end of the day, ensure the building is totally secured; computers are logged out and switched off, internal lights off, doors locked and alarm activated.
Training/Meetings
- To attend any relevant training courses arranged by the Practice.
- To attend regular staff meetings.

Person Specification
Qualifications
- English and Math GCSE (or equivalent).
Experience
- Experience of working with others.
- Experience of using own initiative.
- Experience of customer service.
- Experience of working in a reception environment.
- Experience of working in General Practice.

£11.44 an hour. Will be increased to £12.20 in April 2025.
