Job overview

The Medical Education department is looking for an enthusiastic individual to join our busy department. We require a hardworking, people-friendly individual who has exceptional organisational skills with the ability to manage and prioritise their work accordingly.

This role will keep you both busy and challenged. You must be highly motivated with excellent communication skills, the ability to use your own initiative, and work well under pressure.

You will need to be adaptable, reliable, and a team player with previous staff management experience.

Main duties of the job

The MEA will work cooperatively across a number of teams to provide efficient and effective administrative and project support, with some secretarial responsibilities, to key functions within the Department. The MEA will develop detailed knowledge, skills, and expertise in at least one designated, complex service area(s) to enable the Department to meet statutory/mandatory/HEE and other requirements in line with Department strategic goals and priority needs. The MEA will proactively liaise and interface with both clinical and administrative colleagues in both educational and clinical contexts and settings in order to fully integrate and enhance department services in support of our students, trainees, and other doctors.

The expected focus of this role, certainly in the first instance, will be post-graduate administration. The role holder will need to become very familiar with postgraduate medical education and can expect this to form the most substantial area of work.

Person specification

Experience

  • 3+ years recent administration experience within an NHS, public service, or an educational environment
  • 2+ years recent administration experience within a Medical Education or Higher Education environment; Managerial/supervisory experience

Qualifications

  • NVQ Level 3 in Business Administration / 2 A Levels/ equivalent experience; GCSEs in English and Mathematics Grade C minimum; RSA level 3 or equivalent
  • Degree or NVQ Level 4 in business

Skills

  • Excellent communication skills, written and verbal, using various methods and platforms to all levels of staff, external agencies, and the general public. Sound keyboard skills, digital literacy skills including the ability to use MS office software to a high standard. Data input and extraction for reporting, accurate minute and note taking
  • High attention to detail and accuracy, effective planning and organisational ability. Problem-solver with ability to be resourceful, creative, and adaptable. Multitasking and ability to switch between tasks due to disruptions and distractions. Touch typing at 50-wpm minimum. Ability to use own initiative where necessary
  • Creation of databases; Use of Digital software and website upkeep; Touch typing at around 50-60 wpm

Knowledge

  • Awareness of Health Education England’s Digital Capability Framework and its applications; Medical Education or Health Professional Training
  • Understanding of medical career path including education and training; Knowledge of Health Education England’s National Education Contract
