Responsibilities

Job Summary:

The Workplace Services Manager oversees the operations, maintenance, and strategic planning of our global campus, which includes seven offices across the USA, Canada, and the UK. This role requires a hands-on leader who can collaborate with local site leaders to understand and address specific regional needs while driving efficiency and consistency across all locations. The Facilities Manager will ensure our offices provide a safe, well-maintained, and productive work environment that aligns with our company’s culture and operational goals.

Job Responsibilities

  • Global Facilities Oversight: Manage the operations and maintenance of seven offices across multiple countries, ensuring consistency in service levels, safety, and workplace experience.
  • Collaboration with Site Leaders: Partner with local site leaders to understand specific office needs and challenges, tailoring facility solutions accordingly.
  • Proactive Space Planning: Anticipate future employee needs in the facilities space by analyzing workforce trends, office utilization, and company growth plans.
  • Vendor & Contract Management: Oversee third-party service providers for maintenance, security, cleaning, and office supply contracts, ensuring cost efficiency and high service quality.
  • Workplace Safety & Compliance: Ensure all facilities meet local regulations, health and safety requirements, and environmental standards.
  • Budget & Cost Control: Develop and manage facilities budgets, optimize operational expenses, and identify cost-saving opportunities without compromising service levels.
  • Sustainability Initiatives: Implement environmentally friendly workplace practices and energy-saving measures to align with corporate sustainability goals.
  • Emergency Preparedness & Risk Management: Develop and maintain business continuity plans, including emergency response procedures and crisis management strategies.
Qualifications

Technical Competencies

  • Multi-Site Facility Management: Ability to oversee the daily operations of multiple offices, ensuring workplace efficiency and consistency.
  • Vendor & Contract Management: Proficiency in negotiating and managing service contracts for facilities-related vendors.
  • Health, Safety, & Compliance: In-depth knowledge of applicable local and industry-specific safety and environmental standards for workplace environments.
  • Workplace Planning & Optimization: Experience in forecasting space needs, employee growth trends, and hybrid workplace models.
  • Facilities Budgeting: Ability to develop and manage operational budgets, track expenses, and identify cost-saving opportunities.
  • Sustainability & Energy Efficiency: Implementing green initiatives, energy-saving measures, and corporate sustainability programs.
  • Risk & Crisis Management: Development of emergency response strategies, including disaster recovery planning.

Education, Knowledge, Skills, and Abilities

  • Typically requires a bachelor’s degree in business, IT, or a related field (or international equivalent).
  • Typically requires 10+ years of relevant experience in facilities management, preferably in a multi-site or global setting.
  • Strong leadership and stakeholder management skills, with the ability to work cross-functionally.
  • Experience managing vendor contracts and optimizing facilities budgets.
  • Knowledge of workplace health, safety, and compliance regulations across multiple regions.
  • Ability to forecast workplace trends and implement proactive space management strategies.
  • Excellent problem-solving skills, adaptability, and a hands-on approach.
