The role

The purpose of this role is to provide support and assist the Service Charge Team in the management of the Service Charge process for properties under a Management Company.
To ensure that we deliver a fully compliant, highly efficient Service Charge function to our customers.

This role is part of our Customer directorate where you'll help us to lead the way in keeping our promise to more than 100,000 customers.

What you'll achieve

  • To ensure that all management company demands are effectively logged and sent to Transactional Services team for processing.
  • To provide office cover to receive post, scan and track any correspondence ensuring that this is allocated to the correct teams.
  • To check all managing agent invoices and ensure these are accurate before coding and approving invoices and logging payments.
  • To ensure all customer service charge queries received are effectively managed, escalating any concerns to the Service Charge Officers.
  • To assist in all specialist correspondence with regard to Service Charges, such as Sec 20 Notices, and ensure they are issued in accordance with the statutory timescales.
  • To prepare standard letters to customers using mail merge functions, enveloping, franking and posting these to customers as and when required.
  • To prepare reports on outstanding invoices and circulate these to the management team.

What you'll bring

Essential skills

  • Attention to detail and accuracy is essential.
  • Good general standard of education, in particular a good level of numeracy.
  • IT skills including use of Word and Excel and experience of data entry and databases is essential.
  • Flexible approach to working hours to be able to respond to times of peak demand (year-end etc.).
  • Be confident in dealing with customers by phone, email and letter and able to deliver great customer service.
  • Planning and organisational skills are essential.

Desirable skills

  • Previous experience of Service Charges.
