Management Assistant Role
This is an excellent opportunity to join the company as an Office Assistant to provide overall support to the PA/Office Manager and London team with the day-to-day administrative activities of a busy head office.
Management Assistant Main Tasks & Responsibilities:
Administration
- Support the Commercial Director & Strategy Director:
- diary management
- meeting room bookings
- customer conference bookings
- customer meeting arrangements e.g. catering arrangements
- organisation of customer hospitality
- Overall support to Commercial, Category & Marketing teams including:
- booking travel and accommodation
- compiling weekly business update communications
- working closely with the commercial team to update promotions
- Arranging equipment for new team starters
- Provide cover for the PA/Office Manager when out of office, including assistance to the Managing Director
- Welcome visitors to the office and attend to deliveries
- Support the creation of business presentations & research projects on an ad-hoc basis
Office Management
- Maintain high standards in the London office (tidiness, cleanliness, ensure maintenance or replacement of equipment etc.)
- Maintain inventory log of all PC equipment in the Hammersmith office
- Liaise with IT department to ensure IT projects for London are:
- effectively communicated and rolled out
- training on new software and applications is provided
- Mandatory IT training e.g. security requirements, is completed by all
- Office wide IT issues are logged and followed up to conclusion
- Create and manage H&S compliance folder to include:
- desk assessments
- maintenance checks
- fire drill recording, alarms, access to building and extinguisher checks
- first aid provisions
- Monitor all office consumable stock levels and order where necessary
- Manage Company Pool Car:- tax, service, maintenance, bookings
- Build and maintain relationships with external suppliers: maintenance, cleaning company
Events
- Collaborate with PA/Office Manager in the arrangement of company updates, functions, team events and team social celebrations

Qualifications:
- GCSE in Math and English to a minimum grade of level 4
- Proficient in Microsoft Office – Excel, Word, PowerPoint
