Our client is a leader in food manufacturing who is currently looking for a Management Assistant to be based in their West London offices, offering excellent career progression and interesting challenges.


Management Assistant Role


This is an excellent opportunity to join the company as an Office Assistant to provide overall support to the PA/Office Manager and London team with the day-to-day administrative activities of a busy head office.


Management Assistant Main Tasks & Responsibilities:


Administration

  1. Support the Commercial Director & Strategy Director:
    1. diary management
    2. meeting room bookings
    3. customer conference bookings
    4. customer meeting arrangements e.g. catering arrangements
    5. organisation of customer hospitality
  2. Overall support to Commercial, Category & Marketing teams including:
    1. booking travel and accommodation
    2. compiling weekly business update communications
    3. working closely with the commercial team to update promotions
  3. Arranging equipment for new team starters
  4. Provide cover for the PA/Office Manager when out of office, including assistance to the Managing Director
  5. Welcome visitors to the office and attend to deliveries
  6. Support the creation of business presentations & research projects on an ad-hoc basis

Office Management

  1. Maintain high standards in the London office (tidiness, cleanliness, ensure maintenance or replacement of equipment etc.)
  2. Maintain inventory log of all PC equipment in the Hammersmith office
  3. Liaise with IT department to ensure IT projects for London are:
    1. effectively communicated and rolled out
    2. training on new software and applications is provided
    3. Mandatory IT training e.g. security requirements, is completed by all
    4. Office wide IT issues are logged and followed up to conclusion
  4. Create and manage H&S compliance folder to include:
    1. desk assessments
    2. maintenance checks
    3. fire drill recording, alarms, access to building and extinguisher checks
    4. first aid provisions
  5. Monitor all office consumable stock levels and order where necessary
  6. Manage Company Pool Car:- tax, service, maintenance, bookings
  7. Build and maintain relationships with external suppliers: maintenance, cleaning company

Events

  1. Collaborate with PA/Office Manager in the arrangement of company updates, functions, team events and team social celebrations

Management Assistant profile and background

The successful candidate will be highly organised and efficient with a can-do attitude and bright, enthusiastic personality.

Your strength will lie in your ability to take ownership of the role and stay in control of multiple projects and priorities to meet deadlines.


Qualifications:

  1. GCSE in Math and English to a minimum grade of level 4
  2. Proficient in Microsoft Office – Excel, Word, PowerPoint
