Job Description

Role Summary/Purpose:

To work as part of the Facilities and Maintenance team providing operational support for the day-to-day management of works.

This is achieved by answering calls and e-mails, raising these in an efficient way through the CMMS (Maximo) to progress as reactive tasks for the operational delivery teams.

Main Duties
  1. Raise tasks, log concise/useful information within the work management system and assign to a central planning function (Maximo)
  2. Manage the day-to-day running of the helpdesk work distribution, planning, and contingency management
  3. Take a proactive approach to customer liaison and ensure concerns are dealt with or relayed to line management promptly
  4. Understand and complete all work-related documentation accurately and on time
  5. Understand and comply with policies and procedures
  6. Manage work orders in an appropriate manner ensuring cell leaders are aware of all situations and escalations
  7. Attend and fully participate in training and appraisal activities as required
  8. Ensure any escalations are expedited in a timely fashion
  9. Carry out work in a safe and diligent manner
  10. Raise purchase orders and order materials as required
  11. Undertake additional duties in line with capabilities as required
Core Functions
  1. Maintain PPM schedules, ensuring dates are met
  2. Assign planned and reactive works to dedicated engineers via our scheduling technology
  3. Book in preventative maintenance
  4. Build site knowledge and relationships with the wider site team
  5. Direct relationship with dedicated engineers and their working patterns
  6. Raising of quotes, and the end-to-end management of purchase orders
  7. Build relationships with our key supply chain, ensuring contracted PPMs and reactive support is delivered quickly


What we are looking for
  1. Excellent, demonstrable customer management experience and proactive approach
  2. Holds relevant qualifications/certificates (e.g. NVQ in Customer Service or Administration or equivalent) or has relevant Customer Helpdesk experience
  3. Able to operate a Helpdesk system or equivalent IT skills
  4. Able to remain calm when dealing with calls in a pressured environment
  5. Team player with ability to work under own initiative when required
  6. Excellent attention to detail and data management ability
  7. Strong numeracy and literacy skills, and strong commercial awareness
  8. Able to understand and act on both verbal and written instructions/procedures
  9. Excellent listening and questioning skills
  10. Sound knowledge/experience of office administration skills/tasks
  11. Recent similar experience within a Facilities Management setting, working with a CMMS
