Fixed-term contract

The Logistics Support role is responsible for supporting the Logistics Coordinator with the planning and scheduling of all customer deliveries, ensuring optimised use of the Oleon Logistics fleet alongside third party hauliers, to facilitate the efficient delivery of our oil throughout the UK and internationally.

Previous experience in the Planning & Logistics field isn’t essential; we are looking for transferable skills and a desire to learn and develop in the role.

Oleon has three operating divisions, meaning the responsibilities of the Logistics Support role will vary depending on the primary division they are assigned. When required, the Logistics Support role will provide cover for the Logistics Coordinator in their absence.

The successful candidate will be required to gain an understanding of inventory flows for inbound oil deliveries from UK and international suppliers to Oleon storage facilities and factories. The role will involve working closely with the Commercial, Operations, and Production divisions in order to optimise the daily, weekly, and monthly delivery plans.

Key Responsibilities
  • Support the Logistics Coordinator with the scheduling and processing of deliveries nationally and internationally of bulk, IBC, and palletised refined oils/specialty products through Oleon Fleet and 3rd party logistics providers in order to achieve the daily delivery plan.
  • Ensure deliveries are booked in efficiently with customers in order to achieve the delivery schedule provided by the Logistics Coordinator.
  • Work closely with our 3PL providers to maximise performance, drive efficiency, and highlight any decline in performance.
  • Support the Logistics Coordinator to identify solutions and contingency plans for any delivery issues.
  • Manage all activities associated with returnable transit packaging (IBC’s).
  • Prepare relevant transport documentation, including commercial invoices and packing lists, required to export goods.
  • Understand and arrange shipment of dangerous goods, ensuring the relevant documentation is provided in a timely manner.
  • Raise & receipt transport purchase orders for deliveries executed on 3rd party hauliers.
  • Resolve any invoice queries relating to 3rd party haulier deliveries.
  • Investigate Planning & Logistics Division Non-Conformances and manage investigations through to resolution.
  • Provide cover as required for the Logistics Coordinator/Logistics Administrator within the team.
  • Identify cost-saving opportunities and participate in their delivery.
  • Support the Logistic Coordinator with tracking order patterns and highlighting any variances.
  • Understand and support the process in utilising routing and scheduling software to optimise efficiency for the Oleon fleet, to ensure routes are maximised and costs are minimised.
  • Be effective in interdepartmental communications, e.g., with Commercial, Operations, and Production divisions to support departmental KPIs.
  • Be involved in the process to ensure import clearance for bulk tanker collections from mainland Europe.
  • Support the Logistics Coordinator in providing data for weekly/monthly KPI reports.
Qualifications
  • Excellent written and oral communication skills.
  • Meticulous attention to detail.
  • Ability to liaise with both internal and external customers/suppliers.
  • Experience of working in a fast-paced environment with conflicting demands.
  • Solution-focused with a can-do attitude, with ability to look outside the box.
  • Active team player with the ability to work autonomously, prioritising & organising own workload effectively and supporting others if demands necessitate it.
  • Excellent Microsoft Office skills, in particular Excel, together with experience of using internal database systems.
  • Professional appearance and attitude embodying our company values at all times.
What We Offer
  • Salary: £18,750 - 30hrs per week (FTE =£25,000).
  • 23 days annual leave + bank holidays.
  • 1 day birthday off (After probation).
  • 1 Personal Leave Day.
