Position: Logistics Manager

Location: Camberley Depot: Riverside Way, Camberley, Surrey, GU15 3YL

Line Reporting Manager: Depot Manager

Working Schedule: Monday Friday, 07:00AM 17:00PM (1 hour Unpaid Lunch)

Principal Duties And Accountabilities

  • Manage the delivery of planned and reactive services to Thames Water in accordance with the established procedures.

Roles And Responsibilities

Logistics & Planning

  • Use in-house software for a range of tasks including job management, vehicle whereabouts, costing, reporting and administration.
  • Create daily whereabouts and distribute to Transport Managers, Out of Hours team and Thames region drivers, monitoring and encouraging utilization & efficiency.
  • Create night sheet for the Out of Hours team indicating operatives working their 4/4 shift pattern or on call.
  • Manage and oversee ALL (Including THA068/THA066/THA016 & Private work accounts) in line with the relevant ops manager & Contracts Manager/ Client(s) requirements.
  • Support MI issues when required to prevent payment delays.
  • Monitor and analyse data to identify trends, challenges, and opportunities for operational improvement.
  • Provide assistance with DB Authoriser regarding supplier invoices used by other managers.
  • Sub Contractor utilization & engagement in line with Operations, Planning, Review, DB & Invoice Queries, in line with Operations Manager, General Manager & Contracts Manager.

Customer Service

  • Receive service requests verbally and electronically, provide advice and prices to customers and co-ordinate the relevant resources to meet agreed timescales and optimise performance.
  • Liaise with other departments within the organisation and assist in the delivery of operational and administrative services to internal and external customers, ensuring customer relations are positively developed and maintained.
  • Ensure customer complaints are dealt with within a professional and timely manner.
  • Promote continuous improvement and seek to identify and recommend new methods of working to achieve benefits including greater efficiency, improved quality and safer methods of working.

Compliance & Safety

  • Maintain thorough knowledge and ensure compliance of all relevant transport regulations including Health & Safety standards, environmental guidelines, risk and method statements, plant inspections and maintenance.
  • Ensure all tasks are performed in accordance with Health & Safety and statutory procedures, including the organisation's quality management system.
  • Collaboration with Planners & Transport Department on Vehicle Breakdowns/ Compliance/ Trackers etc.

Team Leadership

  • Management responsibility for the office-based planning team, fostering a culture of high performance and accountability.
  • Update HR team with daily absences, sickness documentation and return to work meetings.
  • Manage daily processes related to overtime authorisations, timekeeping, welfare, investigations, and disciplinary actions.
  • Conduct regular performance reviews, provide constructive feedback, identify training needs and support the ongoing development and professional growth of team members.
  • Ensure company policies and procedures are adhered to.
  • Always perform tasks in accordance with Health & Safety and statutory procedures having regard to the organisation's quality management system.

Qualifications / Competency

  • Previous managerial experience including fleet resources preferred.
  • CPC Management Qualification is preferred but not essential.
  • Previous experience in the transport, waste or logistics industry desired.
  • Proficient using all Microsoft Office systems.
  • Strong leadership skills with the ability to inspire and manage a diverse team, coupled with a proactive, self-starter attitude.
  • Superior organisational and planning skills.
  • Robust problem-solving abilities with a focus on operational efficiency and customer satisfaction.
  • Excellent communication and interpersonal skills, adept at liaising with internal teams, sub-contractors and customers.
  • Resilient and capable of managing your own workload, meeting tight deadlines, while maintaining attention to details and quality.

Health & Safety

Section 7 of the Health & Safety at Work Act (1974) states the general duties of employees at work:

  • To take reasonable care for the health and safety of themselves and of other persons who may be affected by their acts or omissions at work; and
  • as regards any duty or requirement imposed on their employer or any other person by or under any of the relevant statutory provisions, to co-operate with them so far as is necessary to enable that duty or requirement to be performed or complied with.

The Logistics Manager Health And Safety Responsibilities Are

  • To understand and implement the company health and safety policy.
  • To ensure and monitor the health, safety and welfare of all staff/sub-contractors working under their remit.
  • To influence and promote a positive health, safety culture within the organisation and lead by example.
  • To carry out at least 1 x IMS527 Senior Manager tour of works area and 1 x Weekly SHEF report for the depot/offices/workshop. Copies of these are to be submitted to their respective SHEQW representative by the end of each month.
  • To investigate all occupational accidents and incidents using the company 2, 2, 2 process and produce detailed reports with supplementary evidence with support from the SHEQW department.
  • To report all health, safety and environmental incidents to relevant persons and your SHEQW representative upon notification or at least within 2 hours.
  • To ensure safety briefings/TBTs are delivered and signed registers are completed.
  • To ensure you are aware of the company fire and first aid arrangements, and emergency evacuation procedure.
