We are seeking a dynamic individual to join our rapidly growing Kit and Logistics team. Led by our Head of Kit and Logistics; Ross, you will support Kirstie and Maricel by providing comprehensive administrative assistance. The role involves managing scheduling, hotel bookings, vehicle servicing, and compliance with internal and external regulatory standards for our clinical waste management. Key responsibilities include supplier relationship management, overseeing clinical waste software, reporting, auditing, and providing support to the field-based team.

This is a great opportunity to help us build and develop a brand new administrative and support function. We are looking for someone who has excellent organisation and administrative skills who is willing to take ownership of our clinical waste management, someone who can work well with in a team but, can also work under their own initiative, enabling us to provide a consistent service and excellence in care for our customers.

Responsibilities
  • Using Bluecrest scheduling software to create the weekly schedules/routing for our clinical waste drivers, collecting clinical waste from our field team.
  • Daily monitoring of routes to manage sickness, field team movement or cancellations to ensure efficiency and cost effectiveness
  • Managing urgent collection requests in a timely manner
  • Managing routing for equipment collections or deliveries
  • Work alongside our kit administrator to manage ad-hoc collections/deliveries
  • Book hotels for our logistical drivers
  • Plan, record and book vehicle servicing
  • Monitor vehicle checks and credit card logs
  • To maintain the compliance of our clinical waste management by monitoring the clinical waste software, support our drivers and field-based team with any logistical or clinical waste queries both in the UK and Ireland
  • Manage our supplier relationship with our clinical waste disposal supplier both in the UK and Ireland
  • Complete auditing on waste invoicing, external waste, vehicle, driver and field teams. Both in the UK and Ireland.
  • Create and deliver weekly reports to the Head of Kit and Logistics.
  • When required, support Kit and Logistic projects
  • When required, to help support our kit management team.
  • When required, to assist our field kit administrator with general housekeeping tasks with in our Milton Keynes Site.
  • When required, open and close our Milton Keynes office for our field team to complete health assessments and greet our customers to our Milton Keynes clinic.
  • When required, to help cover annual leave and sickness at our Milton Keynes office.
The hours
  • Full Time, Permanent
  • 37.5 hours per week
  • Hybrid – minimum of 1-2 days in our Milton Keynes Office per week
  • Able to work any days between Monday to Sunday
  • Able to work any times between 6am and 10pm
  • Currently the rota for this role is 9am - 5pm Monday – Sunday, weekends will be 8.30am – 4.30pm. Please note these hours could change based on rota/role requirements.
Requirements
What we need you to have
  • Excellent planning and organisation
  • Prior experience using Microsoft Office Applications – Excel in particular, and strong computer literacy
  • Strong communication with the ability to provide clear and concise feedback
  • Be a natural conversationalist
  • Be able to communicate confidently both over the phone and in person
  • Great listening skills
  • The ability to work in pressurised situations
  • Be responsible by nature, and be able to take accountability for your actions
  • Extensive customer service experience
  • An ability to work independently and to use own initiative
  • Exceptional attention to detail
  • Computer literate
  • Experience within an administrative or logistical role
  • Experience in managing logistics scheduling is desirable but not essential
  • Experience in clinical waste management is desirable but not essential
  • Ability to meet tight deadlines
  • An ability to think on your feet and deal with the problems that can arise in a mobile environment.
  • Being able to work well with in a team but also to your own initiative.
