Job summaryThe Trust Clinical Academy is an established group that brings together a range of faculty members providing or considering providing accredited courses that the Trust has/will develop and implement. The accreditation and the moderation of these courses are currently provided by the University of Greenwich.
A strategic aim of the Trust is to develop and expand these courses to enable the ongoing development of our professional workforce. We currently develop in the region of five hundred registered healthcare professionals annually, although the Trust plans to increase this to around fifteen hundred over the coming years.
A full-time Clinical Academy and Virtual Learning Environment (VLE) Administrator is required to support the work of the growing CA portfolio of courses and manage the administration associated with the provision and development of courses.
The role will support administration on a range of course modules and/or aspects of these modules.
Main duties of the jobThe key functions of the role are, but not limited to, the following:- To work as a member of the LGT Clinical Academy team providing a comprehensive secretarial, clerical, and administrative service to all members of the team in connection with the delivery and organisation of courses.
- To take responsibility for the administration of the LGT Clinical Academy online learning environment (Moodle) by coordinating the students' flow including course bookings, the creation of cohorts/groups, and assisting with end of course procedures.
- To manage room bookings for educational space in the Catford offices over the year to make sure good use of the room is achieved.
- To organise tea/coffee for teaching days and learner breaks.
- To assist course leaders in the creation and content management in the LGT Clinical Academy online learning environment (Moodle).
- To be able to use the SBS ordering and invoicing system to process orders for the LGT Clinical Academy.
- To take and produce minutes of meetings for the LGT Clinical Academy.
- To be willing to develop the role including attending further training as the LGT Clinical Academy needs grow.

Job descriptionJob responsibilitiesGeneral Administration/Clerical- To take messages ensuring complete confidentiality in accordance with Trust policy.
- Answer email enquiries in relation to the clinical academy.
- To organise room bookings when required.
- General filing duties as required.
- Accurate data entry.
- Provide cover for the above duties across all sites as required.
- Maintain confidentiality at all times.
- To be aware of existing processes and offer suggestions for improving services.
- Take minutes as required including those of the Clinical Academy Group Meetings.
- Any ad hoc typing required, i.e., letters etc.
- Any other equivalent duties consistent with the level and purpose of the post.
Person SpecificationQualifications & TrainingEssential- Good standard of education NVQ 2 plus additional experience equating to NVQ 3 as outlined below.
- GCSE English Language and GCSE Maths or equivalent.
Desirable- NVQ Business Administration/IT - Level II or equivalent.
- RSA II.
- Certificate in Office.
- ECDL.
ExperienceEssential- Previous experience of working in a busy environment.
- Previous experience in an administration role.
Desirable- Previous experience of working with learning management systems in the educational context.
- Previous experience in educational content administration.
- Previous experience of minute taking.
Skills & AbilitiesEssential- Good organizational skills, able to work to prioritize workload and meet deadlines.
- Good understanding of internet/intranet.
- Able to work autonomously and without supervision, using own initiative, but access advice when needed.
Desirable- Ability to prioritise a busy workload.
KnowledgeEssential- Good knowledge of using Word, PowerPoint, and Excel in administrative duties.
